Summary:
Supports the Clinical Engineering Department’s administrative functions under the supervision of the Director(s) of Clinical Engineering. Some of the responsibilities include; but are not limited to; purchase requisitions and orders, administrative level updates and management of the AIMS work order software, department budget and expense tracking, ECRI workflow alerts, Contract Guardian maintenance, employee time and attendance scheduling, monitoring, corrections and reporting, and placing service requests with limited outside vendors. Serves as a liaison between the clinical engineering management and its internal/external customers.
Responsibilities:
Responsibility I
Support all administrative operations for the Clinical Engineering Department.
1.1Ensures all parts order purchases are processed promptly to improve the repair turnaround time of the medical equipment. Follow up on purchase orders that are not completed within five business days.
1.2Identifies and proposes new vendors with competitive pricing and faster delivery for repair parts. (ongoing)
1.3Maintains expenses within the existing AIMS work order software for all facilities and monitors monthly budget variance including vendor service and repair parts expense.
1.4Responsible for timely submission of all department employee payroll including overtime monitoring and provides management with monthly reports regarding excessive employee lateness, absenteeism, on-call work, or other related trends.
1.5Maintains and submits employee travel expenses. Schedules employee technical training and travel accommodations. Monitors expenses according to approved budget and provides timely variance report analysis.
1.6Identifies and recommends improvements in processes and procedures.
1.7Ensures management, department and employee personal information is kept confidential.
1.8Records and transcribes minutes and presents previous meeting minutes during next meeting for approval.
1.9Maintains the monthly on-call schedule and updates applicable applications.
1.10Ensures all medical equipment not located during inspection is communicated to the department owner of the equipment on a monthly basis.
1.11Ensures equipment not located for the last two cycles of inspection is removed from service in the equipment management system.
1.12Coordinates activities relating to various types of meetings i.e, Management, vendor or consultant meetings, coordinates schedules, agendas, venues, equipment, IT, travel and any necessary arrangements required.
Other Information:
High School graduate. Microsoft Word, Excel, Outlook, and Power Point. Works on multiple projects. Strong written and verbal communication, and organizational skills. Requires 3+ years experience providing administrative support. Associate�s Degree preferred.
