Cleveland Clinic Coordinator II -- Administration and Facilities in Port Saint Lucie, Florida

As Facilities Coordinator II, you will oversee various essential processes, project activities and maintenance requests to ensure patients can continue having the best possible experience at Cleveland Clinic. Your work will focus on administrative and facility management to support Directors, fellow staff and other caregivers within and outside your department. Using your critical-thinking skills and decisive judgment, you can make a lasting impact on daily organization and operations at Tradition Hospital.
A caregiver in this position works days, 7 a.m. -- 3:30 p.m.
A caregiver who excels in this role will:
Coordinate and provide support to the Director of Plant Operations, Dispatching, Facilities Compliance Team and other staff, including performing administrative tasks, compiling documentation/binders for inspections, scheduling meetings/training/events and transcribing meeting notes.
Greet contractors and verify, record and issue temporary badging when needed.
Send PO Requisitions for processing and track items received.
Verify contractors and add them to Silk Road for processing and approval.
Input all incoming electrical bills (KWh usage and amount) for Tradition, SLW and Healthpark 1/2 and incoming utility bills for hospital, Emergency Center and medical buildings.
Generate check requests for processing, update spreadsheets/graphs for monthly and yearly comparisons and assign FET numbers to incoming receipts for Director's approval.
Verify incoming invoices before forwarding to the Director for approval.
Input and maintain on-call schedule in Qgenda and the department.
Track caregiver PTO, perform daily verification/entry of payroll, collect/enter charge backs and generate bi-weekly reports for justification.
Input A/P Department utilities usage and operating expenses while maintaining department files for on-hand access.
Keep track of equipment certifications (e.g., elevators, boilers, storage tanks, etc.) and license renewals upon inspection approval and print invoices as required.
Function as a CMS/Nuvolo work order system administrator.
Schedule routine Maintenace checks for building systems (e.g., HVAC, electrical, plumbing, fire alarms, etc.) and coordinate repairs/replacements with contractors/vendors.
Respond to maintenance emergencies and repair requests.
Oversee office moves and space reassignments, manage furniture/equipment inventory and conduct space utilization analysis to optimize usage.
Negotiate contracts and manage vendor relationships.
Ensure compliance with building codes and safety regulations, conduct safety inspections, address safety concerns and develop/implement emergency preparedness plans.
Maintain and report records of maintenance activities, work orders, vendor contracts, facility operations and budgets to control costs.
Troubleshoot maintenance issues and facility challenges.
Minimum qualifications for the ideal future caregiver include:
Understanding of building systems (e.g., HVAC, plumbing, etc.), maintenance procedures and safety protocols
High School Diploma or GED
Three years of experience coordinating and assisting with management functions and special projects
Proficiency with spreadsheets, word processing and database software

Physical Requirements:
Ability to perform work in a stationary position for extended periods
Ability to operate a computer and other office and laboratory equipment
Ability to travel throughout the hospital system
Ability to communicate and exchange accurate information.

Pay Range
Minimum hourly: $16.47
Maximum hourly: $23.61
