DT Professional Services Secretary III (Port Hueneme) in Port Hueneme, California

Job Summary:

DT Professional Services is seeking a qualified Secretary III that will support onsite at NAVSEA Port Hueneme, CA! This senior administrative professional will require an Active Secret Clearance and with skills to perform clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to U.S. Navy. This position requires experience supporting C-level executives, and the ability to handle differing situations while interacting with the executive level team and their processes.

Responsibilities:

  • Central point of contact for action items, data calls, information or problem resolution

  • Organize and schedule organizational meetings and appointments

  • Manage executives' schedules, calendars and appointments

  • Anticipate and prepare materials needed by the supervisor for conferences, correspondence, appointments, meetings, telephone calls, etc., and informs supervisor on matters to be considered

  • Read publications, regulations, and directives and take action or refer those that are important to the supervisor and staff

  • Based on knowledge of the supervisor's views, compose correspondence on own initiative about administrative matters and general office policies for supervisor's approval

  • Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general directions

  • Knowledge of DoD office procedures and software programs (ERP, LOCUS, DTS) to complete tasking as required in support of the customer needs

  • Advises individuals outside the organization on the executive's views on major policies or current issues facing the organization

  • Contacts or responds to contact from high-ranking outside officials (e.g., city or state officials, members of congress, presidents of national unions or large national or international firms, etc.) in unique situations (These officials may be relatively inaccessible, and each contact typically must be handled differently, using judgment and discretion )

  • Use greater judgment and initiative to determine the approach or action to take in non-routine situations, interprets and adapts guidelines, including unwritten policies, precedents, and practices, which are not always completely applicable to changing situations

  • As with any position, additional expectations exist. Some of these are, but are not limited to, adhering to normal working hours, meeting deadlines, following company policies as outlined by the Employee Handbook, communicating regularly with assigned supervisor(s), and staying focused on the assigned tasks including company meetings, and completing other tasks as assigned

    Basic Qualifications:

  • High School Diploma or GED Equivalent

  • Possess an active DoD issued Secret Clearance

  • 5+ years of senior level administrative support

  • 5+ years Microsoft Office 365 Suite: Word, Excel, Outlook, OneDrive, Teams, and PowerPoint

  • 5+ years operating various office equipment: copiers, fax machines, typewriter, scanner, and telephone answering systems

    Preferred Qualifications:

  • AA degree in Business Administration

  • 5+ years experience working in DoD or government environment

  • 5+ years experience with DoD terminology, correspondence, and filing standards

  • 5+ years experience utilizing the Department of Defense (DoD) Defense Travel System (DTS)

  • 5+ years experience utilizing DoD software programs such as ERP, LOCUS, and DTS

    The compensation for this position: $25.32 hourly.
