Job Description: Administrative Support Specialist

Position Overview:

The Consumer Financial Protection Bureau (CFPB) Ombudsmans Office seeks an

Administrative Support Specialistto provide essential administrative and operational support. The role involves database management, correspondence handling, scheduling, and other administrative tasks to ensure the efficient functioning of the Ombudsmans Office. This position supports the offices mission to advocate for fair processes in consumer financial protection and requires adherence to principles of independence, impartiality, and confidentiality.

Key Responsibilities

  1. Correspondence Management:
    • Daily review of the CFPB Ombudsmans Office general inbox, including emails, voicemails, and scanned letters.
    • Determine if correspondence is a new inquiry or follow-up and handle accordingly.
    • Draft routine email responses using standardized templates within two business days of receipt.
    • Transcribe voicemails received as email attachments and update database records.
  2. Database Management:
    • Enter, maintain, and update inquiry data, including first name, last name, location, and issue summaries.
    • Categorize inquiries based on established policies (e.g., Red Flags).
    • Assign inquiries to appropriate team members and notify them of urgent matters.
  3. Communication Support:
    • Respond to public voicemails and provide routine information as authorized.
    • Schedule and set up virtual or telephone meetings with inquirers and team members.
  4. Administrative Support:
    • Perform word processing, data entry, and research as needed.
    • Support scheduling and coordination of office activities.
    • Maintain confidentiality of all correspondence and office activities.
  5. Additional Duties:
    • Update database records to reflect inquiry statuses and completion of tasks.
    • Provide administrative assistance for in-person events at the CFPB Headquarters when required.

Required Skills and Qualifications

  • Experience:
    • Proficiency in database management, including data entry and record maintenance.
    • Familiarity with office applications (e.g., Outlook, SharePoint, PowerPoint).
    • Strong organizational skills and ability to handle sensitive correspondence confidentially.
  • Communication Skills:
    • Exceptional written and verbal communication skills.
    • Ability to draft routine responses and maintain professionalism in all interactions.
  • Technical Skills:
    • Knowledge of virtual meeting platforms and scheduling tools.
    • Ability to transcribe and summarize voicemails accurately.
  • Other Requirements:
    • Public Trust Clearance in good standing.
