Job Description

  • Understand the document requirements for projects.

  • Prepare and execute the document control expediting plan for each project.

  • Issue initial contact email to suppliers after PO issuance, listing SEL requirements and expectations from the supplier on all documentation.

  • Drive improvements in supplier on time delivery performance by prioritizing outstanding supplier documents.

  • Maintain current document status on all orders and projects.

  • Identify and escalate ongoing supplier documentation issues to the Project Teams and Procurement Manager.

  • Produce documentation expediting reports and ensure follow-up on action items.

  • Participate in meetings with suppliers.

  • Participate in project team meetings as required.

  • Provides the interface between Suppliers and the Project Team to ensure that documentation requirements (signed PO Acknowledgements, Engineering, Procurement, Manufacturing, Production and/or Fabrication schedules, Bills of Materials and drawings) that are specified in the purchase order are delivered in accordance with the agreed schedule.

  • Provide detailed updates to the Project Manager on the status of supplier documentation.

  • Resolve discrepancies.

  • Monitor and expedite the timely return of documents from the project team to the supplier.

  • Maintain positive working relationships with various internal parties such as Project Managers, Procurement, Engineering, and Document Control.

  • Develop and manage supplier relationships.

  • Works with the supplier and document control on a recovery plan if documents are delayed, note the reason(s) for the delay and track recovery time.

  • Provide input to Supplier performance evaluations.

  • May provide backup for other employees.

  • Performs other duties as assigned.

Qualifications

  • 3-yrs experience in an engineering environment with document management

  • Technical Communications or preferred Business degree in Library and Information Sciences or equal or related work experience

  • Digital Management of files

  • Excellent organization skills and diligence

  • Skilled in basic computer applications including Google Suites, Microsoft Word, Excel, or comparable programs

  • Ability to multitask

  • Excellent verbal and written communication skills

  • Outstanding interpersonal skills

  • Ability to comprehend and execute complex assignments

  • Ability to function independently

  • Must be able to work in a fast-paced, detail-oriented environment with a customer service focus

  • US Citizenship
