Robert Half Senior administrative Assistant in Pittsburgh, Pennsylvania

Description

Our client is looking for a Senior Administrative Assistant role is in the Squirrel Hill area. This role will coordinate, manages and actively participates in the day-to-day operations of the Administration Office and acts as primary liaison for the Executive Director and Assistant Administrator. The position is full time on site, 8 ½ hour a day position with ½ hour lunch and two 15-minute breaks. Pays up to $26.

JOB DUTIES / RESPONSIBILITIES:

  1. Performs all duties and responsibilities in a fashion which coincides with the service of excellence.

  2. Serves as primary liaison for the Executive Director and Assistant Administrator as to the day to day operations and provides support to other departments.

  3. Performs administrative tasks by conducting research and preparing and coordinating reports and projects. Communicates instructions or decisions to various individuals within the facility as well as to the outside community.

  4. Supervises the receptionist/switchboard operators. Prepares all schedules for coverage, monitors absenteeism and assures productivity. Reinforces adherence to department policies. Also oversees all aspects of mail service: i.e. postage machine, mail sorting by receptionist.

  5. Provides support, preparation and typing of all daily correspondences, sets up meetings and maintains calendar for Administrative Offices.

  6. Interacts with community leaders, board members and other individuals. Often handles highly sensitive and confidential information.

  7. Organizes meetings, helps in preparing and distributing agendas, minutes and other pertinent material for the Board of Directors and other committees.

  8. Maintains an accurate filing system. Coordinates and prepares the telephone directory.

  9. Coordinates the usage of the conference rooms within the facility.

  10. Receives and responds to all incoming calls to the Administrative Offices.

    Requirements

REQUIRED SKILLS AND ABILITIES:

  1. Requires exceptional typing skills and strong command of the English language.

  2. Operation of computer and knowledge of Microsoft Word and Excel is a plus.

  3. Must have excellent communication and organizational skills.

  4. Must be able to work independently, good supervisory skills and ability to establish priorities.

  5. Well organized, computer literate and possess an in-depth knowledge of office procedures.

  6. Must have the ability to concentrate on numerous projects and work quickly and accurately.

  7. Must communicate effectively both orally and written and compose responses on behalf of the Executive Director and/or Assistant Administrators.

  8. Accountable for promotion of good public relations and service of excellence with staff, residents and the community.

  9. Ability to maintain confidentiality.
