Carnegie Mellon University's Critical Technology Initiative (CTI) focuses on advancing research and policy related to key emerging technologies with national and global significance. The initiative is led by Professor Erica Fuchs and includes the National Network for Critical Technology Assessment, a consortium of 13 universities and 22 leading investigators. It aims to bridge the gap between technology innovation and policy by evaluating the development, commercialization, and global manufacturing of critical technologies.
CTI is seeking a Senior Administrative Assistant to support the Critical Technology Initiative Director and Executive Director with administrative tasks including managing the Director's extensive, complex, and highly fluid calendar with meetings ranging from students to high-profile individuals from academia, industry, and government. This role will support the CTI leadership in other professional activities including research group meetings, board meetings and reference letter submissions; and with booking travel and handling reimbursements/expense reporting. The administrative assistant will also, as needed, step in to support the larger operational team with various tasks as assigned, such as assisting w/ organizing seminars, planning high-profile events, reconciling the departmental purchasing and travel cards and other tasks as they emerge.
The ideal candidate is extremely detail oriented and thrives on creating order out of chaos; highly competent in managing internal and external relationships and interacting with high-profile individuals; keen to ensure even the smallest of details do not slip through the cracks. The ideal candidate is able to see the big picture in terms of what to prioritize, and in focusing on what needs to be done for success of the whole (e.g., in being outcome oriented) and finds no task to be too big or too small.
Core Responsibilities: Manage the director's and executive director's administrative needs including calendars, travel, reimbursements. Schedule meetings with stakeholders from the university, government, and industry. Support the director and executive director in other professional activities, research group meetings, recommendation letter submissions, funding reporting requirements, booking travel, processing reimbursements and expense reports. Other tasks as assigned.
Qualifications: High School Diploma required. Bachelor's Degree preferred. 5-8 years administrative support experience Effective, interpersonal skills, organization and planning skills, and communication skills Higher education experience highly desired. A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Additional Information: When a confluence of events makes work outside normal hours necessary to produce the best outcomes, and it is not possible to plan for those demands in advance. Work Posture: This position is operating on a hybrid schedule, with an on-campus/in office presence 2-3 days a week.
