Reference #: 2021863 The Senior Academic and Outreach Coordinator is responsible for coordinating multiple student related programs, events, and initiatives in support of the Dietrich College student community.  Working closely with the Associate Dean for Undergraduate Studies this role will manage the logistics of several external facing student related outreach activities and events. The Senior Academic and Outreach Coordinator reports to the Assistant Dean for Administrative Operations and serves as a resource for students, faculty, and staff in the Dean's office in support of academic, outreach and engagement related activities in the College.

Excellent organizational, planning, problem-solving, and communications skills are essential in this role. The Senior Academic and Outreach Coordinator will provide support to the Dean, Associate and Assistant Deans, Faculty, Staff and Students throughout Dietrich College and will interact with academic and administrative units across campus. The Senior Academic and Outreach Coordinator will also assist with supporting the daily operations of the Dean's office on an as needed basis.

Core responsibilities include: Attends university academic coordinator meetings. Serves as liaison to Enrollment Services, Career & Professional Development Center, University Advancement/Donor Relations. Performs data retrieval from student systems for Dean's List website posting and student letters as well as for other needs as requested by the Associate Dean and other staff. Proposes policy and procedural changes to Associate Dean for all responsibilities in order to accommodate changes in curriculum and programs. Coordinates Commencement events: Phi Beta Kappa ceremony; Dietrich Student Defined Majors ceremony and oversees the selection of students for university and college honors. Updates website for General Education course offerings; updates the college's content in the Undergraduate Catalog; coordinates offerings for Freshman-Sophomore Research Training courses; creates college interdisciplinary courses in S3; builds schedule of classes each semester for Dietrich College Interdisciplinary courses; creates Academic Audits for Dietrich Student-Defined majors in Stellic. Coordinates the internship and study abroad programs. Gathers content and distributes weekly student newsletters; updates and distributes the Prelaw newsletter and Prelaw handbook at direction of Associate Dean. Provides as-needed support for the college's Advancement and Communications teams (Monday Mailer content compilation). Supports academic functions for the Associate Dean for Undergraduate Studies. Certifies students for college and university honors at Commencement. Coordinates the Dietrich College Senior Honors Program (advises students on application process and academic requirements; course scheduling and registration). Maintains faculty, staff, and student dlists for the college (Andrew Mailman and Constant Contact); contributes data to business manager on endowed accounts associated with student programs; updates Dietrich College Calendar of Events; creates and distributes various surveys and online application forms and collects results. Maintains Dietrich College calendar listings for Dean's Office-related events on the Dietrich College and university-wide calendars. Work with students and other college staff to post Dietrich College events on local external event calendars. Sends correspondence on behalf of the dean, including thank you notes to donors for gifts based on generated reports. Liaison with Advancement and Donor Relations for Professorship events; sends college professorship updates to the Provost's Office; takes the lead on planning a variety of student related events for the college (Spring Carnival and other outreach events); coordinates faculty and student awards and associated events; organizes student presentations for events such as Family Weekend. Works closely with other colleg leaders and the Associate Dean for Undergraduate Studies on initiatives focused on improving outreach and engagement opportunities in the college. Specific areas of focus include the Center for Arts in Society, Humanities Center and the Humanities Scholars Program, other awards and honors programs, and overall student/faculty engagement throughout the college. Serving as a liaison between the Dean's office and other university offices across campus.

You should demonstrate: Excellent oral and written skills communication skills and strong organizational skills Proficient with Google Gmail, Google Calendar, Microsoft Word, Excel, PowerPoint Ability to manage complex meeting schedules and handle domestic and international travel arrangements Excellent planning and analytical skills, ability to prioritize, meet deadlines, handle multiple tasks simultaneously and to understand and follow directions Ability to use interpersonal skills, be highly motivated and a self-starter High degree of accuracy and excellent proofreading skills and ability to maintain detailed records Ability to work with sensitive information, maintain confidentiality and use discretion and diplomacy in all areas of responsibility Ability to work effectively as a part of a team Adaptability and openness to change as the organization evolves

Qualifications: Associate's degree or an equivalent level of education and experience will be considered 3-5 years of administrative support or office administration experience. Prior experience in higher education or student services is a plus!
