Federal Home Loan Bank of Pittsburgh Human Resources Group Administrator in Pittsburgh, Pennsylvania

Reference #: R309 Position Summary The Human Resources Group Administrator is responsible for providing administrative support to the Human Resources Department in all functional areas and assisting the Office of Diversity, Equity and Inclusion as needed. This role provides service, handles routine employee inquires, and escalates issues when necessary.

Primary Success Factors

Provides executive level administrative support to the Chief Human Resources and Chief Diversity, Equity and Inclusion Officers. Manages and maintains executives' calendars, including scheduling meetings, appointments, and conferences. Prioritizes and coordinates conflicting schedules and ensures executives are briefed on upcoming commitments and responsibilities.

Performs broad range of administrative duties including preparation of board and committee meeting materials, composing correspondence, copying, faxing, scheduling meetings, making travel arrangements, sorting, and distributing mail, and providing telephone support. Creates PowerPoint presentations and spreadsheets, which may include confidential and sensitive information. Processes invoices and expense reports.

Assists with recruitment, onboarding and offboarding processes including maintenance of applicant tracking system, scheduling interviews (including travel arrangements), conducting introductory phone interviews, obtaining salary requirements, conducting reference and background checks, coordinating pre-employment assessments, and preparing offer letters and rejection notices. Maintains job postings on internal and external job boards/websites, Initiates phone or email contact with both internal and external applicants, establishes a positive rapport, and provides a courteous and professional first impression of the Bank to prospective employees. Coordinates new hire and separation processing and paperwork processes, and schedules exit interviews.

Assists department managers in securing temporary and contract resources; determines customer needs and works with appropriate agency partners to identify candidates. Manages administration of the Bank's contingent worker population.

Administer the Bank's Education Assistance Program.

Supports administration of benefits initiatives such aswellness activities and events.

Work closely with HR department team members to assist with coordination, implementation and communication of events, training and programs, including management of Bankwide and HR calendars.

At direction of management and other department staff, ensure that applicants, new employee and contractor procedures are followed, including entry of data into appropriate systems such as Cherwell.

Format, update and maintain policies and procedure manuals and Employee Handbook as well as other documents. Maintain and develop all record-keeping systems and files related to employee records and employment paperwork, including assigned maintenance within HRMS.

Support department staff in event and program coordination, including room set-up, food coordination, systems needs, materials, etc.

Maintain departmental databases and records, including employee files, consolidated shared electronic folders, organization charts and departmental calendars. Ensure that office supplies and work areas are well stocked and well organized.

Supports administration of benefits initiatives Assists the Total Rewards Manager with Bank-wide compliance activities such as risk assessments, incident reporting and resolution, vendor management, and business continuity.

Accurately and responsively respond at all leadership and staff concerns and questions, referring issues to other personnel as appropriate. Required Experience

Associates degree in Human Resources, Business or related field, or HR certification; Bachelor's degree is preferred

Minimum of five years of related executive assistant or senior administrative support experience, with at least two years supp rting HR or DEI functions

Experience with recruiting administration and HRMS, preferably Workday or similar system, are a plus

Excellent computer software skills such as Word, Excel, PowerPoint, Visio, etc.

Strong written and verbal communication skills

Strong attention to detail and problem solving skills

Able to collect, compile and analyze data, with a high level of accuracy

Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.

High level of service orientation, with the interest in and ability to progress within human resources

Ability to maintain confidentiality and exercise sound judgment and discretion
