Administrative Assistant
This position will support UPMC Hillman Cancer Center Volunteer and Community Services Department and Ground Floor operations in an administrative capacity.
Applicants should have skills to work both as part of a team and in an independent manner. This role provides support to the overall success of the department with volunteer onboarding paperwork and recordkeeping. Additionally, this position will be required to guide and direct patients and visitors to the facility. This position has regular interactions with volunteers, employees, and patients and thus must be able to function professionally and confidentially in a healthcare office environment.
The ideal candidate has at least one year of related office work experience. Knowledge and experience of using Word, Excel, Microsoft Teams, Outlook is a must. Excellent communication skills (oral and written) are required.
Duties include:
Schedules meetings/interviews with volunteer applicants and manages calendars in coordination with others; provides logistical support as needed.
Answers phone, takes messages, and transfers callers; provides general information and appropriately answers customer inquiries from walk-ins, incoming calls, and emails; supports information desk and resource center coverage as needed in administrative capacity.
Works with the team to identify departmental improvements for efficiency and accuracy; participates in the programmatic development changes as needed.
Prepares volunteer files upon start and monitors for annual requirement completion; ensures confidentiality of sensitive information and materials.
Performs a variety of clerical duties, including updating content on department website, filing paperwork, and data entry.
