EDISON COMMUNITY COLLEGE Manager of Health Science Programs in Piqua, Ohio

Edison State Community College invites qualified candidates to apply for the full time position of the Manager of Health Science Programs. The Manager of Health Science Programs will manage various projects, coordinate processes, and provide receptionist and secretarial support for the Dean, as well as provide backup support to Academic Dean of Arts and Sciences, Dean of Professional Technical Programs, and other Academic Project Specialists. The Manager of Health Science Programs uses problem-solving skills to effectively help students, staff and external contacts as well as completes routine clerical tasks. The Manager of Health Science Programs is required to work with minimal supervision and expects to keep a level of confidentiality regarding all areas managed by the Dean. The Manager of Health Science Programs uses critical thinking skills to effectively help students, staff, and external contacts.

Functional Responsibilities:

 

Perform office duties in the Health Science Program's Division. Answer all internal and external phone and walk-in questions or concerns regarding the programs and provide information as needed. 

Maintain office records including confidential student files, clinical contracts, and official accreditation and certification records.

Is knowledgeable of the program and its requirements and provides information as appropriate to internal and external customers.

Provide customer service to students, staff, faculty, and external customers and forwards customer complaints to the Dean and/or redirects to appropriate personnel.

Manage meetings, appointments, and calendars for the Dean.

Prepare purchase requisitions, order equipment, services and supplies for the assigned program as requested by the faculty and as approved by the Supervisor.

Assist with budget details.

General secretarial duties as required including, but not limited to, scheduling appointments, filing, typing, reports, proofreading, faxing, phone calls, and document preparation.

Competent in the use of Colleague, Blackboard, and other electronic systems on campus to complete processes and obtain information as required for the position. Able to generate reports, queries, and printouts.

Assist with scheduling class visitations and appointments with faculty.

Provide assistance and coverage for other academic project specialists. 

Create, verify, and maintain lab and room usage schedule; post schedule to labs and keep electronic schedule current.

Manage all student health requirement collection and maintenance.

Manage records on program agreements and maintain files of that documentation.

Prepare and manage collection and distribution of required clinical documentation.

Coordinate meetings of program-related committees, including recording, preparing, and distributing minutes.

Work with faculty and the Supervisor to maintain curriculum forms and proposals. 

Assist in the preparation of term schedules, student registration, orientations, and maintenance of student records.

Assist in updating public information regarding the program including student handbooks, the website and program publications.

Assist with student admissions processes including applicant tracking, providing information, collecting, and managing documentation including drug screen and background checks, and notifying students of admissions processes and decisions.
