Are you looking for a fantastic career at Aqua America? We have a great opportunity for an Administrative Assistant II. This position will process financial transactions for procurement and payment of services, support management with general office administrative assistant duties, and provide support with meetings, calendar management, and presentations.

ESSENTIAL DUTIES: Oversees general office coordination. Maintains assigned managers' calendar coordinating workflow and meetings. Answers telephones, responds to callers, takes messages and/or transfers to the appropriate staff. Files and retrieves organizational documents, records, and reports. Coordinates and manages office services, e.g., housekeeping, copier maintenance, etc. Purchases and maintains office supplies and inventory. Prepares and processes purchase orders (PO), receives against open PO's, reviews open PO's and Received not Invoiced reports and follows up on lagging data, works with Accounts Payable to resolve issues, including vendor non-payment concerns. Supports Capital Program by providing financial information to managers and funding substitution forms. Coordinates, organizes, and supports group meetings logistics. Support managers with inventory control program Prepare Microsoft PowerPoint slides and organize decks with minimal guidance of format, graphic creation, and version control. Creates and modifies documents, reports, memos, and letters using Microsoft Applications. Conducts research, compiles data, and prepares papers for management as requested. Performs other duties as assigned, responsibilities in the office can change and tasks must be completed to operate the business effectively.

QUALIFICATIONS: High School Diploma or GED; Additional higher education preferred. A minimum of 5 years' experience in general office responsibilities and procedures.

KNOWLEDGE, SKILLS, AND ABILITIES: Strong customer service skills Excellent organizational skills and attention to detail Proficiency in Microsoft applications-Word PowerPoint and Excel Experience in working with commercial financial software. Good writing, analytical and problem-solving skills Ability to communicate effectively. Ability to operate standard office equipment, including but not limited to, computers, telephone systems, shipping processes. Ability to work well under pressure. Ability to work on multiple projects simultaneously and adapt to changing priorities in a fast-paced environment. A team player able to work effectively in a team fostered multi-tasking environmen .
