Job Summary:

This corporate-based executive assistant role performs a variety of administrative support or specialized administrative duties for a department, region, site, group or individual executive including calendar maintenance and scheduling, phone responsibilities, greeting visitors, travel arrangements, expense reports, presentation preparation, meeting coordination, budget preparation and reporting, recordkeeping, and other activities.

Principal Responsibilities:

  • Provides administrative support to organization/department. Uses business software applications (e.g., Microsoft Word, PowerPoint and Excel) to prepare correspondence, reports, presentations, agendas, minutes, as well as SharePoint experience.

  • Receives, screens and directs incoming calls, visitors, mail and email.

  • Maintains files, records, calendars and diaries.

  • Arrange high volume of business travel both domestic and international, coordinate meeting arrangements, and track/submit expenses.

  • Serves as a liaison between executives, managers, staff, customers and visitors.

  • Researches and summaries complex information in preparation for meetings and special projects to include Board of Director meetings.

  • Drafts and/or responds to correspondence, researches and compiles information for special projects, or prepares reports as required.

  • Other duties as assigned.

Job Level Specifications:

  • Mastery knowledge of the job, practices and procedures, as well as how it affects the organization. Develops process improvement for a wide variety of tasks. Should exhibit high sense of confidentiality.

  • Consistently works on highly complex problems requiring independent action and decision-making. Determines best course of action to resolve problems and makes recommendations for improvement.

  • Empowered to perform under little or no guidance and assigned in the form of broad objectives. Significant creativity and ingenuity are expected to recommend solutions to complex problems and additional challenges. May act as informal team lead and/or coach less experienced team members.

  • Collaborates frequently with management, administrative staff, external contacts and/or other teams. Coordinates efforts with other departments for optimal efficiency. Act as a point of contact for individuals internally and/or externally. Will have direct interaction with customers, suppliers and their administrative team as well as members of the Board of Directors.

  • Actions may impact the department and the organization. Errors may be difficult to detect and remedy and may require significant expenditure to resolve.

Work Experience:

  • Typically requires a minimum of eight years of related experience.

Education and Certification(s):

  • High School Diploma or equivalent

Distinguishing Characteristics:

  • Provides professional administrative support and serves as brand ambassador to a Senior Executive.

  • Knowledge of MS Office Suite products including Excel, Word and PowerPoint as appropriate for the job level.

  • Works closely with members of Avnet's Leadership Team (ALT)

  • Ensure confidentiality of all information and material discussed in meetings or emails

  • Requires onsite presence for 4-5 days per week, dependent on business demands and peak periods

  • Maintain flexibility for occasional after-hours work if Executive should need urgent assistance. May also require occasional working late or coming in early for meetings
