Job Description Summary

The Morris Arboretum & Gardens of the University of Pennsylvania, located in Chestnut Hill, is hiring a part-time Event Manager to spearhead on-going and one-time public events. These ticketed (revenue-generating) and public (gate-driving) events will engage audiences while aligning with the Morris’s missions of engaging people with the natural world.

The Event Manager will be responsible for creating, planning, and managing events throughout the year. Coordinating events will entail handling event logistics, vendor agreements, staff coordination, interdepartmental communication, budgeting, and evaluation.

Job Description

Duties include:

  • Devise, develop, plan, and execute ticketed (revenue-generating) and public (gate-driving) events that align with the Morris’ mission while generating revenue and/or visitation. Manage event logistics and budget.

  • Act as on-site logistical event manager before, during and after events. Coordinate efforts of staff, volunteers, and external vendors.

  • Evaluate events for effectiveness, efficiency, and budgetary impact. Recommend improvements and implement changes, as needed.

  • Assist other departments with event planning and coordination for public-facing events, as needed.

  • Ensure appropriate staff/volunteer coverage at events by collaborating and communicating with appropriate departments.

  • Act as the main contact for internal and external stakeholders related to public events. Communicate and track event details. Coordinate activities with Marketing Department as appropriate.

  • Perform additional duties as assigned.

The successful candidate will:

  • Have at least 2-3 years of experience with all aspects of event planning, from concept to implementation. Ideally these will be public events at a cultural or nature-focused organization.

  • Be able to communicate and interact effectively with internal stakeholders, external vendors, and the public.

  • Be able to work a flexible schedule, including evenings and weekends, in order to act as the on-site manager during events.

  • Have strong attention to detail - able to coordinate and attend to the many aspects of multiple events.

  • Have a strong sense of humor. Able to laugh during stressful times or when things don’t go quite right.

This is a part-time (20 hours/week), year-round position that requires evening and weekend work.
