Job Description Summary

The Department of Surgery is looking for a Staffing Administrative Coordinator to join the Research Administration team. This position will report to the Academic and Staffing Manager and serve as an HR representative for the Department. The Staffing Administrative Coordinator will be responsible for the overall recruitment and staffing processes for all full-time and part-time staff, postdoctoral researchers, and temps. This position will serve as department liaison, instruct supervisors in preparation of job descriptions and pay levels, and will communicate human resource policies related to Departmental/University policy/procedure changes to staff, faculty and students as appropriate. The Staffing Admin Coordinator will work closely with the Grant Management team, faculty, Departmental leadership, and PSOM HR.

Qualifications: High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required. Bachelors degree is preferred.

Day-to-Day Responsibilities

  • Coordination of all new/replacement staff, postdoc, and student positions: This includes gathering the required documentation for position posting, reviewing documents for compliance with policy, and coordinating with other manager and faculty to ensure the process progresses in a timely manner.

  • Coordination of all staff, postdoc, and student hires, appointments, and reappointments: This includes gathering the required documentation, reviewing documents for compliance with policy, coordinating with PSOM HR for candidate evaluation, generating the offer letter or appointment letter, processing the candidate through Workday, creating access for both University and UPHS, and providing general orientation.

  • Assist with various administrative tasks, including but not limited to:

  • Facilitate recruitment interviews and screening upon request by faculty

  • Maintenance of internal documentation

  • Payroll monitoring and maintenance

  • Harrison Scholar Program administration

  • Creating POs and ordering office supplies

  • Facilitate monthly onboarding meeting when needed

  • Mailing list maintenance

  • Coordination and maintenance of all sponsored access, including but not limited to:

  • Requesting UPHS or University access on behalf of Departmental staff and faculty upon request

  • Ensuring staff meet OR access requirements

  • Coordinating PPMC access requests

  • Coordinating PennChart access requests

  • Regularly monitor UPHS sponsored access and take appropriate action as needed

  • Regularly monitor for compliance and coordinate required action:

  • Onboarding completion

  • Workday personnel information

  • BPP requirements

  • Upcoming employment end dates
