Description

We are offering a long-term contract employment opportunity for an Executive Assistant in the Real Estate industry. This role is based in Philadelphia, Pennsylvania. As an Executive Assistant, you will be expected to support the Chief Communications and Mission Officer, perform various administrative tasks, and manage agency coordination. This role requires working remotely.

What you get to do every single day:

• Coordinate and manage various special projects, providing necessary research and support for project completion.

• Process, prioritize and respond to emails as necessary, acting as a proxy for the Chief Communications and Mission Officer.

• Provide support for brand activations, conferences, sponsorships, or the Marketing and Communications team.

• Assist in team coordination, including cross-departmental activities.

• Manage the procurement process, supporting agency management and coordination.

• Maintain comprehensive and accurate records for the Chief Communications and Mission Officer.

• Coordinate travel arrangements and maintain expense reporting on behalf of the Chief Communications and Mission Officer.

• Act as a key contact for Communications/Marketing vendors on behalf of the Chief Communications & Mission Officer.

• Organize on-site meetings, including scheduling, sending reminders and organizing event/meeting logistics when necessary.

Requirements

Other requirements for the Executive Assistant position include and are not limited to:

• Minimum of 5+ years of experience as an Executive Assistant in the real estate industry

• Proficiency in ADP - Financial Services is required

• Expertise in the use of Cisco Webex Meetings for scheduling and managing virtual meetings

• Experience with Concur for managing travel and expenses

• Proficiency in using Customer Relationship Management (CRM) tools

• Familiarity with Kronos Timekeeping System for effective management of work hours

• Experience with About Time software for efficient project management

• Strong calendar management skills, including scheduling and coordinating meetings

• Excellent communication skills, both written and verbal

• Experience in coordinating conference calls, including the management of technical aspects

• Ability to handle detail-oriented correspondence with clients and team members.
