The Calendar Group Executive Assistant- Philadelphia, PA in Philadelphia, Pennsylvania

We are seeking a dynamic and highly skilled Executive Assistant with international experience to provide comprehensive administrative support to our CEO & the global executive team. As an integral member of the Executive team, you will manage various activities, events, and personal affairs, ensuring seamless operations in a fast-paced environment. This role requires flexibility, as it may involve working outside regular business hours, including weekends and holidays, to accommodate our global offices.

Responsibilities:

  • Oversee the daily administration and operations of the CEO's office.

  • Manage a complex and evolving calendar for the CEO.

  • Provide administrative assistance to the global executive team.

  • Arrange detailed travel itineraries for business meetings and conferences.

  • Organize and maintain important files and records.

  • Lead and manage special projects, conducting thorough research as needed.

  • Prepare and edit correspondence, reports, and presentations.

  • Maintain a flexible schedule to support global initiatives.

  • Serve as the liaison between the board and internal/external stakeholders.

  • Manage meeting agendas, take notes, and ensure follow-up on action items.

  • Attend and assist with global off-site meetings as required.

    Qualifications:

  • A minimum of 10 years of experience supporting C-level executives in a global organization.

  • Proven success in managing complex calendars and international travel logistics.

  • Exceptional communication, time management, and organizational skills.

  • Strong attention to detail with the ability to juggle multiple projects simultaneously.

  • Professional demeanor and experience handling confidential information.

  • Demonstrated ability to excel in a dynamic and fast-paced environment.

  • Proficient in Microsoft Office 365, particularly Outlook, Word, Excel, and PowerPoint.

  • Experience working in an international context.

  • Willingness to travel for off-site meetings as necessary.

  • Previous experience in a technology company is a plus
