Job Description

The Associate Director of Global Events plans, manages and executes high visibility events that enhance the fundraising and engagement goals of the External Affairs office at the Wharton School. These events include domestic and international events that highlight the School' student, alumni and donors. This position will work closely with alumni relations and development staff to ensure the quality of the event and to manage expectation around the event strategy. This position also has oversight of CVENT--an event registration platform and will recommend best practices and processes for online and onsite alumni registration experiences. This will include close collaboration with our internal communications team.

  1. Manage, plan and execute events for alumni, students and high-level donors; includes oversight of all event logistics from venue selection, contract negotiations, floor plans, timelines and budget management. Collaborate with stakeholders and internal partners on guest lists and communication timelines and strategy. 2. Oversite of Event registration for all External Affairs events. Collaborate with the Dean's office on CVENT trainings for other groups and departments. Set best practices and processes for the build of all registration sites and support the best user experience for our alumni. Serve as registration manager on-site as flagship events. Collaborate closely with the communication and IT teams on various aspects of registration management. 3. Serve in visible role in External affairs as Registration manager--share out links for all events when registration opens and regularly update staff on reg counts for events. Alert stakeholders and partners when additional plans need to be put in place to meet goals. 4. Train staff on registration processes for flagship events and support other departments as needed.

  2. Support External Affairs events, including but not limited to, Reunion events, Executive Board meetings and Global Forums

Qualifications

  • Bachelor’s degree or equivalent combination of education and years of experience preferred; 3-5 years min experience.

  • Proven ability to organize and complete multiple, simultaneous tasks with close attention to detail and prioritization to meet deadlines.

  • Strong management, organizational and planning skills a must with exceptional attention to detail.

  • Ability to identify and implement innovative solutions to department event processes.

  • Ability to anticipate and troubleshoot unexpected challenges as they arise.

  • Able to work independently as well as collaboratively.

  • Background or knowledge in eCVENT a plus.

  • Ability to travel and valid passport is required.

  • Weekend and evening work sometimes required.

Pay Range

Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
