Summary: Reporting to the Associate Dean of Research and Doctoral Programs, the Associate Director, Research Administration supports the research performed by the schools' faculty and doctoral students, including management of externally and internally sponsored projects, providing pre- and post-award support to Principal Investigators, and ensuring compliance and data integrity with university and sponsor regulations. The incumbent will support research in the Fox School of Business and the School of Sport, Tourism and Hospitality Management.
The Associate Director is responsible for pre-award and post-award administrative functions for the Schools' academic areas and research centers. The primary role of this position is the development and submission of accurate, timely, and compliant grant applications (including new and continuing proposals) to various funding agencies, including Federal, State, and Local Government, Industry, and Foundations along with grant setup, sub-award and consultant processing, project budget and expense analysis, management, and reconciliation, payroll distribution and certification of effort reporting, and project reporting and closeouts. The Associate Director oversees the work done by the Assistant Director of Research Administration and will train that individual and back them up when necessary.

Pre Award: *Identify funding opportunities, data acquisition, and project collaborations in support of the research faculty of the Fox School of Business and School of Sport, Tourism and Hospitality Management, communicating call for proposals (CFP's) to relevant faculty and research-oriented centers, including the Data Science Institute, the Center for Applied Research in Decision Making, Small Business Development Center, Translational Research Center, and the Sport Information Research Center, among others. *Supervise the Assistant Director of Research Administration and student workers, including onboarding, necessary training, and yearly performance reviews. *Proactively communicate application processes and deadlines to PIs and serve as a resource related to sponsor requirements. *Lead budget development, creating models that fit within parameters of project budget and expectations. *Review budgets for consistency with sponsor, monitor compliance with agency, School and University regulations regarding submission; verify all financial data to include application of the appropriate rates for the project. *Review and recommend budget justification language to provide clarification for budgets. *Advise new faculty and doctoral students on program-specific requirements from funding agencies for grant proposals and applications, providing direction in compliance with federal, state, and local regulations. *Support faculty regarding contracts, sub-awards, consultant documentation, progress reports, NCEs. and sponsor- related actions. *Manage all contractual, and MOU requests until fully executed. *Manage the IRB process for projects involving human subjects protocols and conflict of interest disclosures, assisting the faculty in maintaining compliance with federal regulations. *Prepare internal research proposal pre-award forms and documents through th university's Electronic Research Administration (eRA) system and route for approval. *Serve as a liaison between Schools and PreAward Management. *Maintain internal database to document and track grant proposal activity. *Develop relationships with the school's research faculty to assist in grant proposal development and facilitate processing within sponsor deadlines. *Coordinate with in-house grant writing specialist to improve grant proposal clarity and review proposals for formatting, content, spelling, grammar, and compliance with sponsor requirements. *Maintain a repository of information that will ensure a more efficient grant submission process including biosketches, other support, and collaborators list, among others for faculty. * Assisting the PIs in submitting or uploading stock documents, the budget, and any other non-scientific documents to the various granting agencies
Grant Setup *Partner with the Office of Research to identify newly awarded grants and ensure awards and budgets are communicated to Post Award Management (Research Accounting Services) in an accurate and timely manner. *Establish processes and procedures to ensure each grant project is set up concerning hiring, purchasing/procurement, payroll distribution, etc. *Communicate with the Chair, IT, and departmental staff regarding non-financial issues including space, facilities, IT setup, release time, etc.
Grant Management *Manage externally funded projects, internally funded projects, and PI-related research accounts (14 and 16). *Manage all details related to the post-award grant operations, including budget, expense management and reconciliation, payroll changes, effort reporting, sub-awards, etc. *Responsible for working effectively with Faculty PIs to manage the grant portfolio. *Responsible for developing appropriate financial and process controls to ensure compliance with externally sponsored project policies and guidelines. *Monitor sponsor invoicing and cost share record keeping. *Manage post-grant awards and work with the university's Post Award Management department to ensure timely reporting and billing to sponsors and ensure timely close-out of accounts. *Review, and provide analysis on, grant budget spending monthly. *Manage the Effort Reporting process for the Fox School, coordinating with the school's designated pre-reviewer, and providing sign-off in post-review. Make recommendations regarding effort allocation and budgetary issues, track completion of certifications, and provide follow-up on incomplete or late effort reports. *Collaborate with department administrators on post-award budget administration, as needed. *Work with the Dean's Office in administering faculty summer stipends. *Monitor, track, and facilitate the transfer of overhead recovery funds to the various internal stakeholders. *Manage fiscal year close procedures. *Train and review with the Assistant Director of Research the work done with each PI to provide monthly reporting and projections of expenditures in a format that matches the original submitted budget categories *Maintaining a PI-specific database of past, current, and pending grants, and related documents, to increase the efficiency of the submission and management processes *Review the PIs yearly and final reports before the PI submits them.
Grant Closeout *Effectively work with PIs and Office of Research Post Award Management to establish closeout guidelines and policies; target outcome is timely and accurate project closeout within Banner and billing to external sponsors/partners. *Manage each project and update
