Description
We are offering a long-term contract employment opportunity for an Administrative Assistant in Philadelphia, Pennsylvania. The Administrative Assistant role is within the housing authority industry where you will be tasked with administrative coordination and support to ensure smooth operations.
What you get to do every single day:
• Ensure efficient and precise processing of requisitions and invoices post-approval.
• Manage and coordinate meetings, including maintaining calendars and setting appointments.
• Handle administrative tasks such as drafting memos, letters, and other correspondence.
• Liaise with executives and other partners, handling case escalations when necessary.
• Maintain accurate reports, schedules, and minutes of meetings.
• Ensure all incoming mail and emails are received and distributed appropriately.
• Oversee incoming calls, routing them to the appropriate contact points, and ensure timely completion of assigned tasks.
• Uphold the security and confidentiality of all records and information.
• Provide additional administrative support as needed, and work on special projects as assigned.
• Represent your supervisor in meetings when required.
Requirements
Other requirements for the Administrative Assistant position include and are not limited to:
• Proficiency in ADP - Financial Services is required.
• Experience with Banner Ads is essential.
• Familiarity with Cisco Webex Meetings is needed.
• Knowledge of Concur software is a must.
• Proficiency in using CRM systems is required.
• Experience with About Time software is vital.
• Ability to handle answering Inbound calls effectively.
• Understanding of budget processes is needed.
• Expertise in calendar management is essential.
• Excellent communication skills are required.
