Position Overview:

Seeking a team-oriented accounts payable Associate to join our Accounts Payable team within the Finance Department. This position will collaborate daily with a variety of teams including: Accounting, Accounts Receivable, Payroll, contracting, and project managers across our various lines of business. This position will report directly to the Accounting Manager. The ideal candidate will enjoy working with a range of colleagues from project managers all the way to corporate executives, with the ability to clearly communicate processes and obstacles. The ideal candidate will be seeking a long-term relationship with an employer to further their career. This is a full-time and non-exempt (hourly) position.

Since 1905, Elliott-Lewis and its family of companies have a reputation of being a premier provider of Mechanical Services, Facilities Management, and Crane Rentals. Comprised of four sister companies, our Accounts Payable team supports each line of business to ensure timely and accurate payments.

Role and Responsibilities:

· Receive, review, and process vendor invoices, ensuring accuracy and adherence to company policies. Verify and reconcile discrepancies between invoices and purchase orders.

· Maintain positive relationships with vendors. Address and resolve any billing discrepancies, issues or questions promptly.

· Manage Accounts Payable email account for incoming invoices.

· Respond to calls on the Accounts Payable hotline.

· Prepare and process payment runs, including checks, electronic transfers, and credit card payments through DocLink and GP. Ensure timely and accurate payments to vendors.

· Put together weekly payment batches.

· Map invoices using Smart Capture, a software product of Altec.

· Provide support to other finance team members as needed. Assist with special projects and other duties as assigned.

· Ensure compliance with company policies and procedures as well as relevant financial regulations and guidelines.

· Assist in the preparation of financial reports related to accounts payable. Provide support during audits and internal reviews.

Location:

Initial orientation period of this position will require in-person reporting to the corporate office located in northeast Philadelphia. After 3 months, this position allows for remote work one day a week. No travel is required during work hours.

Required Skills:

  • Minimum of 1 year of Accounts Payable experience

  • Highschool graduate or GED equivalent

  • Understanding of general accounting

  • Comfortability with record reviewing and data correction

  • Proficiency in Microsoft Office, specifically: Excel, Word, and Outlook

  • Excellent organization and communication skills

  • The successful candidate must be self-motivated, and detail oriented with the ability to handle multiple priorities.

  • Experience with invoice imaging system (DocLink or any other document managing software experience) a plus.

Preferred Skills and Education:

  • Microsoft Dynamics/GP (an accounting software) experience highly desired

  • DocLink software (an Accounts Payable SAAS) experience highly desired

  • Microsoft Office experience in SharePoint and Teams

  • Experience with DocuSign

  • Bachelor’s degree preferred, but not required

Physical Requirements

  • Regularly requires a high degree of mental effort, talk and hear, gross and fine manipulation, read both print and screens for extended periods of time.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

  • Frequently required to walk and sit

  • Occasionally required to reach with hands and arms, lift 25 lbs. max, stand and stoop, kneel, or crouch, and climb stairs

  • Expected to work in a moderately loud level of volume environment.
