Position Description

Job Descriptionfor Construction Recordkeeper I, II and III

Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to original agreement; monitors records to verify compliance with state and federal laws and determines payments due contractor for work completed. Work requires contact with contractors. Performs routine material tests and manufacturing process inspections in laboratories, plants and/or at points of supply.

Work requires contact with contractors. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor

Essential Duties for aConstruction Recordkeeper I, II or III:

  • Keeps equipment mileage and service records and schedules equipment repairs.
  • May attend pre-construction meetings to instruct contractor's bookkeeper on record-keeping procedures.
  • Prepares and types correspondence, reports and supporting documents; files, orders supplies and equipment.
  • Processes change orders, supplemental agreements, and extra work orders.
  • Performs other job responsibilities as assigned.

Additional JobDutiesfor a Construction Recordkeeper II:

  • Employees at this level perform assignments following specific instructions and are subject to frequent review by the immediate supervisor.

Additional JobDutiesfor a Construction Recordkeeper III:

  • Employees at this level performs work independently on assignments; however, all unusual issues are referred to the supervisor.

Minimum Qualifications:

Education for Construction Recordkeeper I, II, or III: High School Grad or Equivalent in general high school studies.

Experience:

Construction Recordkeeper I: 0 years construction recordkeeping, accounting experience.

Construction Recordkeeper II: 1 year construction recordkeeping, accounting experience.

Construction Recordkeeper III: 2 years construction recordkeeping, accounting experience.

(Experience can be satisfied by fulltime or prorated part-time equivalent).Related college education or relevant technical training may be substituted for experience on a year per year basis.Substitutions for Minimum Qualifications

Licenses and Certifications: Valid drivers license. This position requires driving a state vehicle

  • Standard procedures relative to planning, construction and engineering fundamentals.
  • Higher mathematics

  • Reviewing plans for accuracy and ensuring compliance with requirements

  • Preparing and maintaining confidential and sensitive records, files and reports

  • Writing, reviewing and revising documents to include engineering notes, specifications, standards and procedures

  • Applicable testing methods, processes and procedures
  • Leading, assigning, reviewing, and monitoring the work of others

Physical Requirements and Working Conditions:

  • Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
