COMMERCIAL HOLDING CO Administration Assistant (CBTC Investments) in Paris, Tennessee

Role and Responsibilities:

Answers telephone promptly

Returns calls and follows up on all client service issues

Sets up/confirms appointments for Program Manager

Maintains contact management system by:

  • Imaging paperwork
  • Entering tasks or requests
  • Appointment notification
  • Calls to be returned by Manager

Generating reports

Checks monthly commission report for accuracy; follows up on unpaid commission.

Prepares requested documentation for various audits and examinations by internal and external auditors.

Files statements and client-related materials

Maintains LPL/Redtail Database

Coordinates charges and write-offs as requested

Maintains client files as outlined in Written Supervisory Procedures manual

Keeps Manager apprised of operational and compliance updates

Monitors compliance with CE requirements

Submits, tracks, and follows up on advertising and literature requiring approval/revisions as requested Monitors technology requirements

Maintains LPL compliance logs for quarterly submission.

Performing direct mailings and advertising

Assisting and following up in obtaining compliance approval on all seminar materials and presentations.

Assisting in preparation of seminars and other marketing materials in conjunction with Creative services

Assisting with the follow up process of marketing strategies and seminars including contacting attendees, etc

Managing website marketing and updates.

Qualifications and Education Requirements

Associate degree or 3 years of relevant experience

Preferred Skills:

Customer service, tact, and public relations expertise

Excellent oral and written communication skills

Detail oriented

Excellent math skills

Excellent tech skills

PC use with experience in Excel, Word, and database management
