Job Duties

Under the Practice Administrator, manages assigned operational aspects of the ambulatory practice to maximize the effectiveness of service delivery, financial performance, and cultivate an ambulatory practice culture that is responsive to patient care.

The Practice Manager will work closely with the staff and physicians to ensure that all clinical and regulatory goals are met.

In collaboration with the Practice Administrator, the Practice Manager will be proactive in determining workload priorities through planning, coordinating and collaborating with Central Scheduling and Patient Access.

The Practice Manager will participate in the implementation of performance improvement activities and redesign of the ambulatory practice to assure it meets the expectations of all consumers.

Communication:. Ensures staff is kept informed of Medical Center and departmental priorities. Good written and verbal skills are demonstrated in reports, correspondence and presentations.

Professional Development: Participates in conferences, workshops, and other professional development activities to maintain licensure and/or remain professionally current with advances in field of expertise.

Staff Development: Ensures staff receives mandated in servicing in Safety, Quality Assurance, Risk Management, Customer Service, Infection Control and any other in-service that may apply.

Problem Solving: Decision making reflects strong operational skills with focus on quality, cost containment, and teamwork.

Customer Service Management: Demonstrates the Medical Center's Customer Service standards and goals in daily interactions with staff, providers and patients. Serves as a role model and mentor for Service Excellence.

Project Management: Participates in multidisciplinary task forces, committees and projects as directed by the Practice Administrator.

Ensures practice workflows begin and end with consistent and exceptional quality care for the patient.

Maintains an improvement mindset for the practice and aligns the practice and provider goals with those of the Medical Center. Monitors workflow for continuous improvement opportunities.

At the direction of the Practice Administrator, develops staffing plan and schedules for the ambulatory practice to maintain appropriate staffing levels and staffing mix; ensures adequate staff coverage by reviewing vacation and holiday schedules; Prepares payroll for review and approval.

At the direction of the Practice Administrator participates in the interviewing and selection of hires, and supervises staff in area of responsibility; initiates disciplinary action, including terminations; carries out annual performance appraisal of employees recommending promotions, raises, etc.

In collaboration with the Practice Administrator, ensures safe and professional patient care by enforcing and monitoring compliance to professional standards, identifying clinical and educational needs of staff; recommends methods for improving staff competence and patient care and assists in developing, implementing and evaluating programs.

Through meetings, in-services or other established means of communication, provides information to departmental staff.

Participates in the quality assurance/quality improvement programs in area of responsibility, identifying patient care issues, developing QA monitors and ensuring that follow-up actions are implemented.

At the direction of the Practice Administrator, assists with the development of departmental policies and procedures, objectives, quality assurance program, safety, environmental, and infection control standards.

Understands and adheres to the Medical Center’s Code of Conduct.

Familiar with the Medical Center’s Mission, Vision, and Values Statements.

JOB SETTING/PHYSICAL DEMANDS

Ambulatory Services, contact with staff, patients and families, physicians and ancillary staff. A great deal of mobility required. Practices may be located off-site in host Communities. May handle emergency or crisis situations. Crisis Intervention skills required. May lift, position, push, and/or transfer patients. Protective clothing may be required: mask or face shield, gloves, impermeable gown, particulate filter respirator.

Position Qualifications: Minimum of 2 years of practice experience including 1 year of supervisory or lead experience preferred. Skills: Strong problem solving skills Ability to multitask Strong understanding of regulatory requirements for OPS Good organizational skills. Good oral and written communication skills. Good interpersonal skills, understanding of cultural competency Must be computer literate, competent with Excel. Speaks, reads and writes English. Ability to speak and understand Spanish preferred.

Education

Bachelor of Science in a health related field. Certification from the MGMA, AAPC, HFMA, or other practice management organization preferred.
