Aston Carter Project Coordinator in Palo Alto, California

Job Title: Project CoordinatorJob Description

• Calendar management • Taking meeting minutes - Note taking skills (meeting minutes is an essential part of job), utilizing Word or Excel (pivot tables, ability to create graphs, understanding the data they are inputting) • Event planning – Organizing staff engagement events, meeting events (including arranging lunch for the group and mapping out seating arrangements) • Facilitation, planning, and close-out of large workshops and conferences • Manage budgets for projects and events, including expense and invoice management for team expenses, office expenses, and other ad hoc reimbursements • Proficient use of PowerPoint – Provide feedback on presentations and collaborate with directors to help create presentations, utilizing PowerPoint to create visuals/displays and Word Art while following standard formatting guidelines • Support directors on quarterly business reviews, ensuring action items are completed, assist with planning workshops from start to finish, quarterly business reviews with vendors and partners, appreciation weeks, professional development, onboarding, policies, and governance

Work Site

This is a fully on-site position in Stanford, California.

Work Environment

Onsite at Menlo Newark Start 7am - 7:15am and finish at 3:30-4pm. Varies Monday - Friday, weekends only in emergency situations
