Robert Half Administrative Coordinator in Palo Alto, California

Description We are seeking an Administrative Coordinator based in Palo Alto, California. As part of our team, you will be responsible for the effective management of office systems, coordination of office coverage, and development of team projects. This role is particularly suited for someone with a knack for anticipating potential system breakdowns, recommending staff development opportunities, and formulating and administering assigned budgets.

Responsibilities:

• Develop and manage office systems to provide a functional, cost-effective working environment

• Anticipate potential system breakdowns or communication gaps and take action to correct and avoid these

• Coordinate office coverage and maintain a high level of accessibility and support across the entire organization

• Develop solutions for team projects and encourage collaboration, teamwork, and accountability

• Formulate and administer assigned budgets, effectively utilizing all resources to reduce cost and improve service levels

• Adhere to the policies and procedures of the organization

• Contribute positively to the department and hospital goals, and engage in continued self-development

• Follow departmental guidelines related to staffing and scheduling

• Perform other duties as assigned.

This role offers a long-term contract employment opportunity. Requirements • Must hold an Associate's degree or higher in a relevant field

• Requires a minimum of 5 years of experience in an administrative coordinator role or similar

• Proficiency in using ADP - Financial Services is necessary

• Skills in creating and managing Banner Ads are desirable

• Experience with Cisco Webex Meetings is required for remote collaboration

• Familiarity with Concur for expense management is essential

• Proficiency in CRM tools to manage client relationships and data is required

• Experience with About Time for project management is a plus

• Understanding of Budget Processes for financial planning is necessary

• Calendar management skills to schedule and keep track of appointments, meetings, and deadlines are needed

• Excellent communication skills, both written and verbal, are necessary

• Experience in supporting C-Suite level executives is a plus

• Supervisory management skills are required to oversee administrative staff

• Proficiency in creating PowerPoint Presentations for business meetings is necessary

• Must be proficient in MS Office Suite including Word, Excel, and Outlook.
