Description
We are offering an exciting opportunity for an in-office EXECUTIVE ADMIN in Palmetto Bay, Florida. In this role, you will be supporting 2 C-suite executives with meeting and travel arrangements, contract reviews, expensing, and day-to-day updates.
Key Responsibilities
Executive Support:
Manage complex calendars, schedule meetings, and coordinate travel arrangements for the CEO and COO.
Prepare agendas, take minutes, and follow up on action items from meetings.
Act as a gatekeeper, screening communications and prioritizing tasks appropriately.
Draft, edit, and proofread correspondence, presentations, and reports.
Contract Review and Management:
Assist in the review, tracking, and organization of contracts, ensuring compliance with organizational policies and legal requirements.
Collaborate with legal counsel, vendors, and stakeholders to manage contract lifecycles.
Maintain a centralized database of contracts, monitor key dates, and ensure timely renewals or terminations.
Provide summaries and recommendations to the CEO and COO based on contract evaluations.
Administrative Support:
Maintain accurate and confidential records and documentation.
Coordinate special projects and initiatives as directed by the CEO and COO.
Support event planning and preparation for board meetings and other organizational gatherings.
Ensure timely submission of required reports, filings, and compliance documents.
Relationship Management:
Liaise with internal departments, board members, and external stakeholders on behalf of the CEO and COO.
Foster and maintain strong working relationships with key partners and donors.

Requirements
• Minimum of 3 years of experience as an Executive Assistant or Paralegal
• Familiarity with Bloomberg Terminal
• Strong communication written and verbal
• Experience in completing Accounting Functions
• Experience in Non-profit or government agencies preferred
• Excellent Donor/Client Relations
• Preference for any Netsuite or Oracle experience
• Preference on Bachelor's degree from accredited school
