We are currently looking for an Admin Assistant/ Commercial Event Coordinator for our Owensboro, KY office.

POSITION DESCRIPTION:

  • Administrative Support:

  • Enter and submit timesheets.

  • Validate invoices for accuracy, prepare expense reports, and assist with budget preparation and monitoring.

  • Maintain inventory of office supplies and order new promotional marketing materials including shirts, pens, notebooks, etc.

  • Manage short-range planning schedules and make travel arrangements as requested.

  • Schedule meetings and conference rooms.

  • Maintain customer and vendor contact lists, as well as the event calendar.

  • Handle typing, copying, maintaining departmental files, and preparing correspondence.

  • Coordinate with the mail room as necessary to organize incoming and outgoing mail and packages.

  • Duties to expand as business knowledge grows.

  • Assist in the preparation of internal and external presentations and communications

  • Event Planning and Coordination:

  • Plan, coordinate, and execute a range of events, including corporate functions, conferences, and customer events.

  • Manage and serve as Event Owner and Coordinator for the annual Customer Meeting in Nashville for approximately 300 attendees, including multi-day activities and events.

  • Coordinate with vendors, plan customer activities, and organize receptions and dinners.

  • Manage and push registration for the event.

  • Work with hotel for room block and event room use.

  • Develop schedules for various activities, select decor to match event themes, and collaborate with senior leadership to structure the event.

  • Resolve any concerns of customer or employee guests related to the event or logistics.

  • Flexible hours may be required, including evenings and weekends.

  • Occasional travel to event locations may be necessary.

    REQUIRED SKILLS, KNOWLEDGE, AND EXPERIENCE:

  • Excellent organizational and multitasking abilities.

  • Strong attention to detail and the capacity to manage multiple responsibilities simultaneously.

  • Proficiency in administrative tasks and event planning.

  • Effective communication and interpersonal skills.

  • Ability to coordinate with vendors and manage event logistics.

    PREFERRED SKILLS, KNOWLEDGE, AND EXPERIENCE:

  • Proven experience in administrative support and event planning is preferred.

    REQUIRED EDUCATION:

  • High school diploma or equivalent
