JOB DESCRIPTION:The Executive Administrative Assistant is responsible for managing the Executive Director's schedule, coordinating meetings, handling phone calls, arranging travel, maintaining records, and performing various administrative tasks to ensure the Executive Director's day-to-day operations run smoothly, allowing them to focus on their primary responsibilities; key skills include excellent organizational abilities, strong communication skills, and proficiency in Microsoft Office Suite.JOB DUTIES:• Calendar Management: Maintaining the Executive Director's schedule, booking appointments, meetings, and conferences• Communication Management: Answering and directing phone calls, screening emails, and managing correspondence• Travel Arrangements: Coordinating travel plans, including booking flights and accommodations• Meeting Support: Attending meetings, taking minutes, and distributing meeting summaries• Document Management: Preparing and editing documents, reports, presentations, and correspondence• Record Keeping: Maintaining accurate files and records related to the Executive Director's activities• Administrative Tasks: Handling various administrative duties like mail distribution, and office supply management and other duties as assigned.• Visitor Management: Greeting and assisting visitors• Confidentiality: Handling sensitive information with discretionJOB QUALIFICATIONS:Minimum Qualifications• Three to five years of administrative experience for senior-level executive(s) in a non for profit or academic environment.* Bachelor's Degree required.• Self-starter, ability to work in a fast-paced environment while managing competing priorities• Tech-savvy, with the ability to quickly learn and adapt to new tools and software• Advanced ability to organize• Discretion and good judgment in confidential situations, and proven experience interacting with senior management• Strong interpersonal, written, and oral communication skills• Strong proficiency in Microsoft Office• Excellent telephone etiquette and ability to manage competing priorities i.e. calendar managementPreferred Qualifications• Experience supporting at the Managing Director, C-Suite level (or equivalent) or aboveBackground Investigation/Justice Center Review Requirements:Prospective appointees will be: 1) Checked against the Staff Exclusion List (SEL) maintained by the Justice Center for the Protection of People with Special Needs.
