This position is responsible for providing a high level of administration to park manager in managing Blue Spring State Park. An opportunity is available for a self-motivated, hard-working team player to provide administrative support to fill an Administrative Assistant I position at Blue Spring State Park in Orange City, Florida.

Blue Spring State Park covers more than 2,600 acres, including the largest spring on the St. Johns River. Blue Spring is a designated Manatee Refuge and the winter home to a growing population of West Indian Manatees.

    Pay:

    Base salary $$2,902.03 monthly /$34,824.36 annually

    Your Specific Responsibilities:

    Assists park manager in planning, coordinating and implementing all administrative activities for such required accounting procedures as annual revenue audits, purchase order audits, budget monitoring, oversight of fiscal data, contracts and records, development and implementation of policies and procedures to implement department guidelines, daily, weekly and monthly reports. Processes invoices, MFMP requisitions and purchasing card (p-card) transactions and other related items pertaining to the office administration for payment. Manage SAMAS/FLAIR reports, FIMS, Oculus, PPMTS database and future tracking systems. Act as Office Manager for office operations and insure smooth operation of office procedures.

    Researches and arranges for purchasing of goods and services. Prepares requisitions for goods and services and processes invoices in MFMP, processes p-card transactions, and performs other duties related to purchasing. Ensures that all transactions adhere to the State’s purchasing guidelines.

    Trains and assists OPS and FTE in ranger station procedures for park business system, fiscal compliance, and revenue reporting.

    Performs timekeeper functions and assists with hiring and talent management utilizing People First. Acts as liaison with Bureau of Human Resource Management for FMLA requests, sick leave pool hours, workers compensation tracking, notice of separation forms, etc.

    Receives and routes mail. Maintains tracking system to ensure correspondence, reports and other work is performed in a timely fashion. Answers telephone, visitor questions, and delivers messages.

    Sets up and maintains all files and records of correspondence, documents, reports, and other materials relating to park operations, budget and purchasing in adherence to department retention schedule. Maintains personnel files.

    Performs other related duties as required.

    Required Knowledge, Skills, and Abilities:

    Knowledge of: administrative principles and practices; basic accounting.

    Skill in: personal computer operation; operating general office equipment; use of database and word processing software; planning, coordinating and implementing meetings, training programs and special events.

    Ability to: understand and apply applicable rules, regulations, policies/procedures relating to administrative functions and compliance; prepare and maintain financial records; communicate effectively verbally and in writing; solve complex problems; prepare correspondence and administrative reports; work independently; establish and maintain effective working relationships with others; maintain files and filing systems.

    Minimum Qualifications:

  • Maintain Valid driver’s license

  • Successful outcome of background and fingerprint checks

    Preferred Qualifications:

  • Previous professional office experience including budget and administrative functions
