The Role

We are seeking a highly organized and detail-oriented Executive Administrative Assistant to join our dynamic team. The ideal candidate will possess a strong background in administrative tasks, exceptional communication skills, and the ability to handle sensitive information with the utmost confidentiality. This position requires an active security clearance due to the nature of the work.

Location : This position is open to those that reside in PST with a strong preference for the greater Seattle/Bellevue area and EST time zones with a willingness to work PST hours.

The Main Responsibilities

  • Acting by self-initiative, this position will perform administrative support for a senior executive(s) in a fast-paced, demanding, senior executive office.

  • Prepare agenda, presentations, and correspondence for leadership meetings.

  • Create presentations, document meetings, and manage written artifacts of the business

  • Accurately and professionally handles multiple simultaneous high priority issues.

  • Organizes and maintains calendars – arranging, coordinating and prioritizing scheduling and logistics.

  • Utilizes critical thinking skills and a thorough knowledge of the business and organization to prioritize advanced level executive administrative work.

  • Tasks and assignments require working with a high degree of confidential information using good judgment in decision-making.

  • Responsible for complex and detailed travel arrangements (including international travel) for executive and other team members including but not limited to hotel accommodation, airline reservations, ground transportation, on-site and off-site meeting venues, and any other travel needs. 

  • Security and Compliance

  • Ensure compliance with all security protocols and confidentiality requirements.

  • Assist in the preparation and submission of security clearance documentation.

  • Manage and safeguard classified and sensitive information.

  • Coordinate with security personnel to facilitate access to secure areas and information.

  • Assist in the planning and execution of projects, including tracking deadlines, milestones, and deliverables.

  • Coordinate with internal and external stakeholders to ensure project requirements are met.

  • Organize and coordinate logistics for meetings, conferences, and special events.

  • Arrange travel itineraries, accommodations, and transportation for team members and guests.

  • Manage event budgets and expenses, ensuring cost-efficiency and adherence to financial guidelines.

What We Look For in a Candidate

  • Active security clearance is mandatory.

  • Must meet eligibility requirements for access to classified information (applicants selected will be subject to a government security investigation.)

  • Minimum 5 years administrative experience, preferably in a senior executive level support role.

  • High school diploma or equivalent; associate's or bachelor's degree preferred.

  • Maintain complete confidentiality, a strong sense of urgency; be proactive & self-directed, with a positive, approachable demeanor.

  • Discretion and integrity in handling confidential information.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong organizational and time-management skills with the ability to multitask and prioritize effectively.

  • Excellent verbal and written communication skills.

The starting salary for this role differs based on the employee's primary work location. Employees typically do not start at the top of the range, though compensation depends on each individual's qualifications.

$63,400 - $105,600 in these states: AL AZ FL GA IA IN KS MO MT ND NM OH OK PA TN UT VT WI WV WY

$66,544 - $110,907 in these states: CO HI MI MN NC NH NV OR RI

$69,713 - $116,188 in these states: AK CA CT DC DE IL MA MD NJ NY TX VA WA

As with the pay range variety that's based on the region of a country, specific offers are determined by various factors such as experience, education, skills, certifications and other business needs.

This information reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual pay is based on skills, experience and other relevant factors.

This position is eligible for either short-term incentives or sales compensation. Director and VP positions also are eligible for long-term incentive.
