The Office Coordinator is a part-time position requiring in-person work, Monday through Friday. This role is responsible for managing the day-to-day administrative tasks of the Support Central Office, ensuring smooth operations and efficient workflow. This role involves coordinating various office activities, supporting staff members, and maintaining a positive and productive work environment.
Hours will typically be 10:00 AM to 3:00 PM, Monday through Friday, on-site at our corporate office in Novi.
Essential Functions:
Greet visitors, clients, and vendors in a professional manner and ensure accurate logging and direction to the appropriate person or department.
Answer all incoming calls to Receptionist from the kiosk system assisting with suite entry or delivery management as needed.
Coordinate directly with the procurement team to schedule onsite maintenance of shred bins, postage machine, coffee machines, etc.
Manage the Novi Office Support inbox by responding to inquiries and forwarding requests to the appropriate department when applicable.
Monitor and manage office and kitchen supplies inventory, place orders for new supplies as needed, and ensure all office equipment is in optimal working condition to uphold a professional work environment.
Ensure workspaces, conference rooms, and printer stations are stocked and well maintained.
Schedule maintenance and order toner for the printers as well as handle the recycling of the used toners
Assist in maintaining Robin, our workspace reservation system.
Sort incoming packages, notify recipients, and maintain an organized mailroom.
Support teams as assigned before, during, and after on-site employee events.
Oversee the popcorn program by managing supply inventory, preparing popcorn one day per week, and ensuring the machine is cleaned after use.
Perform special projects and additional administrative support as assigned by Supervisor.
Supervisory Responsibilities:

Minimum Job Qualifications:
High School diploma required.
3+ years’ experience in administrative or office coordinator roles, preferred.
Other Skills and Abilities Qualifications:
Excellent customer service skills with both internal and external customers.
Capable of working with frequent interruptions and changing priorities.
Effective communication skills, written, verbal and interpersonal.
Proficient time management, organizational skills and ability to meet established deadlines.
Ability to work independently with minimal supervision, as well as collaboratively within a team.
Strong attention to detail and high level of accuracy necessary in all work tasks.
Proficiency in Microsoft Office Suite and other office software.
Compensation and Benefits:
Compensation based on position, education and experience. Bi-weekly paid.
$23-26/hr
