Robert Half Customer Service Representative in North Tonawanda, New York

Description Robert Half is seeking a dedicated and proactive Customer Service Representative. In this role, you will be responsible for maintaining strong customer relationships by managing contract verification, order processing, scheduling, follow-up, and effectively communicating customer needs across all departments.

Key Responsibilities:

Customer Service: - Maintain excellent communication with customers, understanding their individual requirements and providing efficient responses to their needs. - Answer customer inquiries via telephone and email with a polite and professional demeanor. - Follow established policies and procedures to ensure high standards of service and meet business objectives. - Collaborate with internal departments to ensure customer satisfaction and achieve business goals.

Reporting: - Maintain records of customer contracts for accurate order processing. - Update customer data files to ensure information accuracy.

Order Processing: - Process change orders and notify relevant departments. - Initiate Sales Returns Goods following procedures. - Enter and acknowledge customer orders in the Manufacturing Planning System. - Manage regional order backlog and expedite orders as needed. - Communicate proactively with customers regarding deliveries and any issues. - Collaborate with finance, sales, procurement, and production teams to ensure smooth order fulfillment. - Handle customer complaints and work towards satisfactory resolutions. - Coordinate with customer site personnel for product deliveries. - Provide feedback to improve product quality and customer experience. Requirements - Previous customer service experience is essential. - Ability to work independently and collaboratively within a team. - success driven attitude with strong problem-solving skills. - HVAC business experience is advantageous. - Familiarity with an MRP System is preferred. - Proactive and flexible work approach. - Excellent interpersonal and IT skills. - Strong leadership and conflict management abilities. - Ability to analyze complex problems and provide clear recommendations. - Results-oriented with a focus on achieving goals. - Open and authentic communication style.
