Charter Care Health Partners Manager, Office Manager Outpatient Psych in North Providence, Rhode Island

Summary: The Office Manager is responsible for the delivery of quality, cost-effective billing services in compliance with all regulatory and licensing standards. The Office Manager will manage the billing concerns for the outpatient department including following up on authorizations, reconciling charges, and collaborating with the billing department for the hospital to confirm payment for services. The office manager will also verify insurances for patients daily for eligibility and payment purposes. The office manager works closely with admitting, case management and the business office to assure the accuracy of information and timeliness of the verification/notification process. The office manager is responsible for running reports routinely. They will meet with staff to discuss specific issues related to insurance that could result in non-reimbursable visits. They are responsible for completing all duties associated with the notification/authorization and verification of Outpatient Behavioral Health cases at Charter Care Health Partners.

The office manager will also assist with reconciling the outpatient BH schedule and attendance and ensuring corresponding charges post correctly. The office manager will file appeals on denied claims, work with other departments on correction of claims (coding and CPT codes), track PHP and IOP claims for reimbursement to ensure they are within the contracted rate, and call insurance company to reprocess claims when needed. The office manager will perform and delegate activities including data entry, maintaining daily logs and receipts, and preparing and delivering billing reports and requisitions. The office manager will also register patients for all programs, assist with coordination of psychiatric consults, when necessary, coordinate and distribute monthly on call and ECT schedules, obtain authorization for services when necessary, coordinate vacation/time off schedules, and order office supplies. The office manager will oversee the daily operation of the medical office including customer service, appointment scheduling, and medical records. Other duties as assigned.

Education: High School Diploma, or GED and 5 years’ experience or A.S. degree and 1-2 years of experience in a health-related billing position.

Experience: Two or more years of billing experience.
