Description seeking a dedicated and detail-oriented Customer Service Representative to join our logistics team. The ideal candidate will be responsible for dispatching and checking in drivers, managing paperwork, ensuring the smooth flow of trailers in and out of the system, troubleshooting inventory issues, and providing exceptional customer service. This role requires excellent communication skills, problem-solving abilities, and a strong commitment to customer satisfaction.

Key Responsibilities:

Driver Dispatch & Check-In:

Dispatch drivers for deliveries and pickups.

Check in drivers upon arrival and departure, ensuring all documentation is accurate and complete.

Communicate schedules, routes, and any changes to drivers promptly and efficiently.

Paperwork Management:

Handle all necessary paperwork related to shipments, deliveries, and pickups.

Ensure accurate and timely completion of forms, logs, and reports.

Maintain organized records of all logistics documentation.

Trailer Management:

Oversee the movement of trailers in and out of the system to maintain workflow efficiency.

Coordinate with drivers and warehouse staff to ensure trailers are positioned correctly.

Monitor trailer inventory and availability, making adjustments as necessary.

Inventory Troubleshooting:

Work closely with management to identify and resolve inventory issues.

Conduct regular checks and audits to ensure inventory accuracy.

Implement corrective actions to address discrepancies and prevent future issues.

Customer Interaction:

Serve as the primary point of contact for customers regarding their orders.

Address customer inquiries, issues, and changes with professionalism and efficiency.

Provide timely updates to customers on order status, delivery times, and any potential delays.

Collaboration & Communication:

Collaborate with various departments, including warehouse, inventory, and management, to ensure seamless operations.

Communicate effectively with team members to share important information and resolve issues.

Qualifications:

High school diploma or equivalent; additional education or certifications in logistics, supply chain, or customer service is a plus.

Previous experience in a customer service, dispatch, or logistics role.

Strong organizational skills and attention to detail.

Excellent verbal and written communication skills.

Proficiency in using computer systems and software for logistics and inventory management.

Ability to multitask and prioritize tasks in a fast-paced environment.

Problem-solving skills and the ability to think on your feet.

• Strong customer service skills with the ability to handle complaints, provide appropriate solutions and alternatives, and follow up to ensure resolution

• Knowledge of HighJump Warehouse Management System (WM) for efficient management of warehouse operations

• Experience in dispatching tasks to ensure smooth operations and customer satisfaction

• Familiarity with Microsoft Office Suites, including Word, Excel, and PowerPoint for documentation and presentation purposes

• Ability to manage switchboard phones with 1-10 lines efficiently, routing calls to appropriate personnel and taking messages as necessary

• Excellent communication and interpersonal skills to interact with customers effectively

• Ability to work in a fast-paced environment and handle multiple tasks simultaneously

• Strong problem-solving skills to deal with customer issues effectively and promptly

• Proven experience in a customer support role or relevant position.
