    Salary: Competitive - Exemp t ($58, 500)

    Hours: 8:30 am - 5:00 pm, Monday - Friday (7.50 hrs/day, plus 1 hour unpaid lunch), hours vary

    Supervisor: Assistant Superintendent for Human Resources

    Civil Service Title: Clerk I or Secretary I

    Minimum Requirements:

    Graduation from high school or possession of an equivalency diploma, plus EITHER:

    (A) Graduation with an Associate’s degree or successful completion of at least sixty (60) credit hours from a college or university, plus two (2) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR

    (B) Four (4) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR

    (C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above. *Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.

    Desired Qualifications:

  • Working level knowledge typing and keyboarding; personal computer usage and techniques relevant software applications; Human resources policies procedure and practices in a public school district;

  • Five years performing clerical/secretarial duties in a public school district preferred;

  • Attention to detail; ability to deal with people at all organizational levels; and good administrative, typing, interpersonal, organizational, planning and oral and written communication skills are required;

  • Excellent organization skills – ability to prioritize and complete tasks within established timelines;

  • Excellent knowledge of standard office procedures, practices, and methods;

  • Excellent oral and written communication skills;

  • Excellent knowledge of English composition, grammar, and spelling – ability to prepare written correspondence;

  • Excellent knowledge of the format, terminology, and vocabulary used in school correspondence;

  • Ability to keyboard rapidly and accurately;

  • Ability to independently perform complex secretarial and routine administrative assignments;

  • Ability to understand, interpret, and carry out complex oral and written directions;

  • Ability to make decisions in an expedient manner;

  • Ability to deal effectively with internal and external communities – excellent interpersonal and human relations skills;

  • Ability to keep accurate records and maintain attention to detail;

  • Excellent judgment in handling confidential material and ability to maintain confidences;

  • Excellent knowledge of and ability to effectively use the Microsoft Office Suite of software (e.g., Word, Excel, PowerPoint), and Google Drive (Docs, Sheets, Slides, and Forms);

  • Knowledge of WinCap;

  • Willingness to participate in required and voluntary professional development.

    Position Summary/Responsibilities:

    The Administrative Assistant II, under minimum supervision, provides administrative and clerical support for the Human Resources function; and provides direction and guidance to other assigned personnel.

  • Prepares a variety of letters, forms, memos and reports from composition, general notes or verbal instruction. This includes matters of a confidential and sensitive nature.

  • Maintains the Assistant Superintendent’s calendar; and adds regular and yearly meetings with other district staff.

  • Responds to incoming telephone calls and in-person inquiries regarding personnel matters, and assists or refers them to the appropriate staff member.

  • Coordinates submission of materials to the Board of Education including personnel information, presentations, and monthly staffing reports.

  • Oversees the Board Staffing monthly reports for the Board of Education’s review and approval.

  • Assists the Assistant Superintendent with administrative interviews, including posting, preparing a timeline, and scheduling interviews for all rounds of interviews.

  • Inprocesses new administrators and enters employee details in WinCap.

  • Works closely with the District’s attorney to provide information and materials, and schedule meetings with the attorney and district employees, as needed.

  • Processes employment verifications and attorney requests for staff, as requested.

  • Coordinates record retention and disposition for Human Resources materials.

  • Provides guidance, direction and assistance to other clerical personnel reporting within the Department of Human Resources.

  • Makes arrangements for appointments, conferences, meetings, interviews and travel involving the Assistant Superintendent and others as required.

  • Provides secretarial support to the Executive Director of Human Resources.

  • Monitors department budget, orders office supplies, codes invoices, and prepares purchase orders for the department.

  • Coordinates the District’s Annual Retirement Celebration event.

  • Maintains administrative personnel files.

  • Performs such similar, comparable duties as may be required.

  • Office environment. Extra hours are required.

  • Other duties as assigned.
