Description

We are offering a role for an Executive Assistant in our office located in NewPort Beach, CA, United States. As an integral part of our Admin/Operations team, you will provide essential support to a lead broker and their team, ensuring smooth operations and efficient client management. This role involves on-site work and provides a long-term contract employment opportunity.

Responsibilities

• Manage scheduling of meetings for the lead broker and their team

• Plan and coordinate events as required

• Handle client management responsibilities, maintaining strong relationships and addressing client inquiries

• Draft, edit, and manage confidential correspondence and documents

• Transcribe minutes of meetings and perform other administrative and secretarial duties

• Create, maintain, and update various databases, extrapolating, analyzing, and presenting data for management reporting purposes

• Serve as a liaison between executives, internal management, employees, clients, and visitors

• Independently handle requests, determine appropriate action, intervene when necessary, and act as a liaison between departments

• Monitor issues and ensure appropriate follow-up

• Support high-level individuals in a fast-paced environment

• Handle sensitive information with discretion

Requirements • Demonstrated proficiency in sales techniques and operations

• Experience in documentation, planning processes, and QA management

• Knowledge of database management and workstation support

• Strong communication skills, both written and verbal

• Experience in liaising between different teams and departments

• Familiarity with real estate industry is a plus

• Comfortable working with C-Suite executives and handling confidential correspondence

• Proficient in Microsoft Office Suites and other relevant software

• Experience in event planning and scheduling meetings

• Knowledge of laptop hardware and About Time software would be advantageous

• Excellent transcribing skills

• detail oriented demeanor and ability to maintain corporate secretarial function

• Experience in reporting for various purposes

• Familiarity with EO/IR systems would be beneficial

• Able to handle high-pressure situations with a calm, detail oriented approach.
