Job Summary

SUMMARY:

The Purchasing Coordinator assists with inputting all Facilities Operations Requisitions and POs into the Facilities Operations’ database. Serves as a vital information source for all aspects to do with the procurement process in Facilities Operations and Facilities Administration. Assists in reviewing procurement reports and identifying questionable variables. Works closely with Finance and Procurement staff to investigate and resolve issues. Reviews purchase requisitions for appropriate documentation, departmental cost center, and signatures before processing. Compares information on invoices against purchase orders to ensure completeness and to verify accuracy. Supports Facilities Operations vendor selection and the procurement process for operating and capital expenses. Cooperates in the handling of vendor inquiries. Supports the maintenance of the Facilities Operations rotating vendor list.

RESPONSIBILITIES:

Support the Storeroom Manager as needed in relations to receiving, inventory and storeroom maintenance:

Responsible for ordering materials and all other items for Facilities Engineering

Execute the placement of orders on behalf of a large hospital by assisting in the creation of requisitions for purchase orders

Manage the procurement systems and processes to maximize opportunities for cost saving, price comparison, vendor negotiations, comparative analysis.

Maintain organized records of all reports, PO’s and other vendor communications.

Maintain vendor records, costs, lead-time, etc. in our internal system.

Reconcile delivery shortages and overages with vendors.

Support accounting with reconciling invoice discrepancies.

Inventory and cost control

Support Payroll / Finance:

Supports monthly close process and functional management reviews

Reviews and confirms accuracy of weekly payroll information

Work with various departments and management personnel (Payroll, A/P, etc.) to ensure data is accurate

Reviews, investigates, and corrects errors / inconsistencies in financial entries, documents, and reports

Identifies areas that could benefit from process improvements and works with process owners/participants to develop and implement solutions

QUALIFICATIONS:

High School Diploma or GED

1+ years of experience in purchasing, accounts payable, general accounting or equivalent areas

Proficient in the use of Windows based office software including but not limited to Microsoft Office, Word, Excel, PowerPoint and Outlook. Oracle knowledge a plus.
