Must have:

  • 2-3 years' administrative experience, office management exp preferred

  • Advanced Outlook and Excel skills

  • Highly organized and detail-oriented, while also being able to grasp the “big picture” strong interpersonal and communication skills; able to remain calm under pressure; pro-active planning skills

  • Consistently displays professionalism, diplomacy and discretion especially when handling matters of a confidential nature or collaborating cross-culturally

3 days/week in-office in NY, NY - exact schedule TBD

salary: $30 - $31 per hour

work hours: 8 AM - 6 PM

Responsibilities

• Manage Outlook calendars and handle all scheduling matters with timeless, pro-activity and professionalism. Schedule appointments and meetings according to leaders' needs, thinking through the cadence of their day and work. Coordinate and update any meeting request changes that occur during the day.

• Provide the needed administrative support for meetings which may include, but not limited to, gathering and organizing meeting materials in advance, reserving conference rooms and working with Office Services for room-setups, audio-visual needs, security, transporting of materials, catering, breakdown of room after meeting, etc.

• Organize and coordinate complex international and domestic travel arrangements and detailed itineraries, liaising with relevant Amex offices.

• Process monthly expense reports with accuracy and timeliness, following procedures of whichever relevant office. Manage incoming bills and statements related to expense report processing. Manage any bills and invoices related to departmental procurement.

• Order office supplies and handle other office related procurement activities as needed.

• Assist with projects as needed. These include reports, spreadsheets, presentations, etc. Handle independent projects and other duties as assigned.

• Develop and manage team contact and distribution lists

• Support President TRWW's Executive Assistant with general administrative duties as needed
