Position Summary
The American Museum of Natural History is one of the world's preeminent scientific and cultural institutions, and has as its mission to discover, interpret and disseminate information about human cultures, the natural world and the universe through a wide-ranging program of scientific research, education and exhibition.The Institutional Advancement (IA) Operations department is seeking a full-time Operations Associate to join their team. The Associate will ensure the IA onsite offices operate smoothly and efficiently. They will provide administrative support to all IA staff, and will support the Operations team, including gift processing and general constituent data entry. This includes assisting with general office administration, purchasing, preparing invoices and tracking expenditures. This also includes opening mail, copying and scanning documentation, making deposits in the Cash Control department, entering gift information into the database used to process information related to web gifts and emailing gift information to various staff members.

Job duties include:
  • Keep departmental supplies well-stocked by maintaining inventories, ordering and handling delivery/distribution.
  • Ensure equipment is operational. Deal with maintenance and repairs requests, including office equipment, appliances, etc.
  • Maintain cleanliness in general office areas including the kitchenette, copy center, etc.
  • Handle mailing for the IA department, including receiving/distributing mail, preparing FedEx packages, handling messenger services, etc.
  • Process purchase orders, requisitions and invoices.
  • Provide support to the Operations team during the busiest periods of the year, including opening mail, copying and scanning documents, making deposits and entering information into databases.
  • Help maintain effective filing and collaboration systems.
  • Run errands within and beyond the Museum.
  • Assist with other departmental duties and projects, when required.
  • Process gift and membership data, including entering credit card gifts, categorizing checks for deposit and formatting web gifts for database import.
  • Perform data entry, including creating and updating reports.
  • Assist with data reconciliation and integrity.
  • Occasionally staff off-hours onsite events.
  • Commit to maintaining confidentiality.
  • Other duties as required.

The expected salary range for the Operations Associate is $43,000/annual - $48,000/annual. This position is overtime-eligible and the AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.
Required Qualifications
  • High School Diploma or equivalent.
  • Strong proficiency with Microsoft Office (Word, Excel, PowerPoint), Adobe Suite (Acrobat), Keynote, Zoom and both PC and Mac operating systems.
Preferred Qualifications
  • Experience managing office logistics.
  • Experience working in development or at a nonprofit.
  • Ability to work well with partners from different departments across the Museum.
  • Ability to operate with attention to detail, multitask, work efficiently and prioritize effective organization.
Physical Demands
  • Must be able to remain in a stationary position (sitting or standing) for prolonged periods.
  • Must be able to occasionally lift up to 20 pounds.
  • Must be able to move about the Museum campus.
