ESSENTIAL DUTIES AND RESPONSIBILITIES:
Greet and assist visitors
Provide resources and information to clients, customers & Guests.
Ensure accuracy for all administrative and responsibilities.
Answer telephone switchboard in professional, timely, and pleasant manner, providing information and directing calls appropriately.
Monitor cleanliness and appearance of the receptionist area
Direct clients and guests to appropriate venue and interact with same professional, appropriate and pleasant manner.
Know and follow all emergency and safety procedures.
Be knowledgeable in and follow all emergency and safety procedures.
Always practice Caring Culture.
Maintain professional appearance and behavior when in contact with guests and associates.
Cross train with other receptionists and switchboard operators.
Pick up Coffee, Breakfast, Lunch at the lobby area for Executives, Admins & Clients
Set up Conf Rooms for Breakfast & Lunch.
Sanitize work stations, Cafe area, Conf Rooms, etc
Work overtime as needed to support the operations.
Notify security when employees, guests or Board of Directors are expected.
Make sure contact information and critical support numbers are updated.
Receive mail at mail room from U.S. letter carrier, U.P.S. carrier, etc., and sign for registered or certified letters, U.P.S. packages and FedEx.
Read labels and addresses and sort incoming mail and supplies for delivery to appropriate tenants within the building, offices or individuals.
Physically distribute mail and Courier packages by cart, dolly or hand truck to tenants throughout the building.
Make timely collection of outgoing mail (letters, parcels, U.S. Postal, interdepartmental), using cart or, for larger items hand truck or dolly.
Deliver boxes of paper to copy areas.
Process outbound U.S. mail
Other duties as assigned.
QUALIFICATIONS:
High school diploma or GED required.
One or more years of experience as a receptionist in a corporate environment.
Strong work ethic; diplomatic; team and service oriented; builds strong working relationships.
Exhibits verbal communication and phone skills; must be fluent in English and be able to communicate clearly.
Consistently demonstrates professional demeanor, appearance and attitude.
Proven ability to remain calm under pressure; resilient.
Sound judgment and problem-solving ability.
Anticipates challenges and key deliverables well in advance of deadline; adept at forecasting needs and plans workload and calendar accordingly; performs tasks with a sense of urgency and consistently meets deadlines.
Able to appropriately handle confidential and highly sensitive material.
