Title: Medical Records Assistant

Work Days: Monday-Friday

Exemption Status: Non-Exempt

Salary Range: $23.96 - $26.43

*As required under NYC Human Rights Law Int 1208-2018 - Salary range for this role when Hired for NYC Offices

Position Summary

Under direct supervision, prepares specialized reports and letters for mail-out to patients, referring physicians and secondary providers as per patient requests

Job Responsibilities

  • If applicable, ensures that patients provide any pre-visit documentation, pre-certifications or authorizations for medical services as needed, and/or a referral, if required.

  • Answers phones, responds to inquiries and triages calls to appropriate personnel.

  • Monitors requests received for reports and ensures associates exam reasons and codes are inputted into the practice management system.

  • Prepares specialized reports and letters for mail-out to referring physicians and secondary providers as per patient requests. Ensures correct information is collated and sent to the correct provider. Reviews follow-up care letters for accuracy.

  • Monitors the report completion status within the practice management system. Identifies errors and escalates for resolution.

  • Maintains and updates list of referring physicians including their preference for mode of receipt.

  • Prepares materials for messenger delivery on an as-needed basis. Ensures scheduled delivery rounds are completed on a timely basis. Coordinates outside delivery services as needed.

  • Confirms patient appointments as needed.

  • Scans patient-related material into the electronic medical record system.

  • Assists with gathering, processing and preparing charts/documentation needed prior to patient appointments or as part of follow-up.

  • Monitors inventory of office supplies.

Education

  • High school diploma or GED

Experience

Some related work experience

Knowledge, Skills and Abilities

  • Experience in an office setting and/or doctor’s office or hospital setting is preferred.
