About the Role

The HIS Lead plays a key role in supporting the daily operations of the HIS and Patient Administrative Services (PAS) teams. As an expert in HIS administrative functions—including HIPAA compliance, EPIC EHR system management, release of information, audits, scanning, and InBasket management—the HIS Lead provides leadership, training, and support to PCA/HIS I, PCA/HIS II, and Senior PCA/HIS staff. In this role, you will maintain the integrity and security of patient records while delivering outstanding customer service.

Key Responsibilities

In addition to performing all duties of a PCA/HIS I and II, the HIS Lead will:

  • Act as a subject matter expert, covering work assignments and assisting in complex patient requests and escalations.

  • Train and support new hires and existing staff in their specialty area.

  • Develop, update, and maintain training materials for PAS/HIS policies and procedures.

  • Assess patients’ needs and guide them through Callen-Lorde’s systems.

  • Create a welcoming, professional environment for patients and staff.

  • Communicate concerns or process improvements to PAS/HIS Administration.

  • Maintain appropriate supplies and administrative materials.

  • Monitor voicemails, fax lines, and emails related to HIS functions.

  • Assist with quality improvement initiatives.

  • Adhere to all Callen-Lorde policies and procedures.

  • Perform additional duties as assigned to support efficient patient care.

    Work Schedule

    Callen-Lorde is open Monday through Saturday. The schedule will include normal business hours (Monday - Friday, 8:00-5:00pm). Occasional evenings may be required.

Qualifications

Education, Experience

  • High School diploma or equivalent required. Bachelor’s degree in related field preferred.

  • 1- 2 years’ experience as a PCA/HIS Associate at Callen-Lorde with an excellent track record of performance and time and attendance.

  • Extensive knowledge of all Callen-Lorde’s systems, (Epic), procedures and protocols.

  • Excellent track record of professionalism and handling difficult patient situations with courtesy and respect.

  • Extensive knowledge of HIPAA and all federal & NYS State patient privacy regulations/laws.

  • Strong computer competency.
