The Opportunity

We are seeking an Information Management Global Manager to join our Firm. Within this position, you will be responsible for overseeing global team projects; performing data analysis; and completing projects related to the Firm's records management systems such as client file transfers, data destruction, client file destructions, paper file reviews, records scanning, and warehouse management. This position will be based in our New York office and has an in-office working schedule. Please note that the Firm will not sponsor applicants for work visas for this position.

As the Information Management Global Manager you will:

  • Manage global Records Management staff across all offices to ensure best practices are followed.
  • Oversee all records requests and team projects, ensuring that they are handled efficiently and in a timely manner.
  • Oversee 7-year matter destruction process, coordinating with Partners, professional staff, and Records staff in each office, as necessary.
  • Oversee client-file transfer review process (both into and out of the Firm) coordinating with the Office of General Counsel, attorneys, paralegals, and representatives from other firms, as necessary.
  • Oversee attorney departure processes to ensure critical records are maintained.
  • Oversee the data destruction process related to court orders, confidentiality agreements, and NDAs.
  • Resolve project team staffing, communication, training, and resource issues and ensure proper coverage.
  • Ensure proper and timely verbal and written communication is exchanged among team members and with other professional staff and attorneys.
  • Develop procedures, project workflows, and quality control processes in response to Firm needs as well as industry requirements and trends.
  • Develop training and mentoring arrangements to transition Records Management staff from paper to electronic file management.
  • Provide technical guidance to team members and lead complex Records Management projects.
  • Ensure that all projects are completed with the highest level of quality by checking that the details of the request are met and that any errors are addressed.
  • Manage job queue and ensure the timely completion of projects by assigning jobs, as appropriate, to Records Management team.
  • Ensure all team members maintain a high level of productivity.
  • Participate in the interviewing, selection, and training process.
  • Recommend guidelines and practices to promote efficiency, effectiveness, excellent customer service, and improved employee relations, in alignment with the Firm's core values.
  • Develop and communicate departmental guidelines and procedures.
  • Recommend and implement changes and improvements in methods and procedures to higher level management.
  • Demonstrate effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
  • Ensure current knowledge of Firm policies and practices for staff, current knowledge of industry trends, and continued professional development for staff.
  • Oversee employees' work performance and provide guidance in the resolution of problems.
  • Effectively utilize the Firm's performance management process to communicate performance expectations, monitor performance, coach employees, and manage unsatisfactory performance.
  • Initiate disciplinary procedures in collaboration with the Human Resources Department.
  • Monitor time, attendance, overtime, and expense reports to ensure accuracy and compliance with Firm policies.
  • Comply with and understand Firm operation, policies, and procedures.
  • Perform other related duties as assigned.

Qualifications

  • Knowledge of department operation and procedures pertaining to the management of paper and electronic records
  • Knowledge of Firm and industry standard records retention policies and best practices
  • Knowledge of corporate and litigation file types
  • Experience with electronic filing and prior involvement in paper-to-digital conversion
  • Ability to train others
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software systems, as applicable
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to organize and prioritize work
  • Ability to work well in a demanding and fast-paced environment
  • Strong problem solving and troubleshooting skills
  • Ability to work well independently as well as effectively within a team
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Education and Experience

  • Bachelor's degree
  • Minimum of five (5) years' supervisory experience in law firm or legal department

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

Salary Details

$140,000 -$155,000
