Akin Gump Strauss Hauer & Feld LLP is a leading international law firm with more than 900 lawyers in offices throughout the United States, Europe, Asia and the Middle East. We are currently seeking a Human Resources Coordinator ("HR Coordinator") in the Human Resources department, reporting to the Senior Human Resources Manager.

The role will reside in the New York office with hybrid work capabilities and will be responsible for supporting the smooth execution of HR operations, processes and initiatives in the firm’s New York and Boston offices. The HR Coordinator is responsible for supporting various HR functions, including recruitment, employee relations, compliance, performance management and benefits administration. The HR Coordinator performs all responsibilities with a commitment to providing superior service to the firm’s lawyers, efficient and effective departmental operations, and an atmosphere of teamwork and continuous improvement.

Key responsibilities of this position include:

In consultation with the Sr. Human Resources Manager, the HR Coordinator shall provide HR assistance with employee relations, recruiting, compensation, performance assessment, and professional development for the local office as follows:

Employee Relations and Performance Assessments

  • Take proactive steps to ensure the strongest and most engaged workforce possible, including communicating effectively with lawyers and department management, and developing creative solutions to provide excellent service to the firm’s lawyers.

  • Serve as the first point of contact for employee relations matters, escalating complex issues to management in a timely manner. Draft performance development plans for review by HR Manager.

  • Support annual Business Services evaluation and compensation process, ensuring that deadlines are met, debriefing meetings are held, and signed evaluations are received.

  • Interpret personnel policies for managers and employees and ensure application is consistent with firm-wide practice; interpret ADA, FMLA, and other federal, state, and local statutory employment regulations and provide guidance on their application in the workplace.

  • Coordinate and schedule local compliance training and professional development events.

    Business Services Recruiting, Onboarding and Integration

  • Assist with recruiting efforts for Boston and New York offices, working closely with the Staff (Business Services) Recruiting team to ensure consistent practices and legal compliance. Participate in interviews gather interviewer feedback, etc.

  • Draft and update position descriptions and requisition forms for open Business Services positions.

  • Work closely with the Human Resources Manager, Staff Recruiting Coordinator and hiring managers to develop competitive and fair offers. Assist with drafting offer letters, communication with candidates and other hiring-related processes.

  • Take proactive steps and consistently evaluate and recommend improved onboarding processes to ensure the best and most effective integration of new hires.

  • Coordinate and delivery of staff onboarding and integration plan for new hires following standard firm procedures. Conduct new hire orientations and integration schedules as needed.

    General Human Resources Administration

  • Participate in the implementation of projects that increase the value of Human Resources services to business services employees and the firm. Contribute to the continuous improvement of HR processes and systems to increase efficiency.

  • Maintain and update employee records in the HRIS (Workday) and other applications, ensuring accuracy and confidentiality.

  • Generate and maintain various reports, track HR metrics and prepare Excel spreadsheets and as necessary.

  • Respond to requests for ADA accommodations, coordinate with Leave of Absence team on requests for FML and other leaves.

  • Prepare and process various HR documents, including employment verifications, status changes and termination paperwork.

  • Manage busy email in-box, responding to employee questions concerning benefits, policies, payroll, HR systems, etc.

  • Ensure compliance with Federal, state, and local employment regulations (in Boston and New York offices). Support regular audit of compliance postings, HR records and documents.

  • Coordinate the firm’s exit procedures for departing personnel, including conducting exit interviews and ensuring compliance with all firm and office procedures.

  • Respond to workers’ compensation claims for the Boston and New York office, in consultation with Sr. HR Manager.

  • Coordinate annual events for Boston and New York office, such as biometric screenings, community service event, vaccination clinics, other wellness events, Staff Appreciation Day, and Years of Service celebration.

  • Support and recommend programming for summer internship program for Business Services employees.

    Qualifications (Experience, Knowledge, Skills & Abilities):

  • Bachelor’s degree required. Human Resource certification preferred

  • Minimum of four (4) years of related human resources experience, preferably in a law firm or other professional services organization

  • Solid working knowledge of MS Office applications including Word, Outlook, Excel and PowerPoint

  • Strong oral and written communication skills. Excellent interpersonal skills, discretion and tact

  • Familiarity with HRIS, databases and reporting applications. Experience with Workday HRIS preferred. Familiarity with administration of Applicant Tracking Systems, Onboarding and Learning Management Systems
