ADMINISTRATIVE OPERATIONS ASSOCIATE
HFH is seeking a proactive and detailed-oriented, Administrative Operations Associate to join its Central Office team. Under the supervision of the Director of Administration and Special Projects, this role will assist with both day-to-day Administrative Operations functions and with the implementation of a wide array of agency projects.
We are looking for candidates that are willing to take initiative, have a creative approach to problem solving, and are able work both independently and collaboratively with cross-functional teams to promote efficiency and effectiveness within the Organization.
This role will work closely with Executive and Senior Management and will be exposed to the inner workings of the Organization’s Central Office Operations. This role is an opportunity to gain experience in project management and to learn about different aspects of Administrative Operations at a nonprofit, including, Contract Management, Procurement, Board Relations, Legal Discovery, and Compliance.

Homes for the Homeless operates shelters for families experiencing homelessness in NYC. Our family residences are more than just a place to sleep. Families can make the most of their stay through accessing an array of onsite programs. Many of these programs are also available to people living in the local community. Our goal is to have a positive impact so families can thrive long after they leave our shelters.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Work as requested on both agency wide and area-specific initiatives and projects, ranging from conducting agency wide surveys that inform management decisions to assisting with annual insurance renewals.
As requested, create and maintain tracking and reporting mechanisms to evaluate, analyze, and report on various key initiatives and projects.
Serve as the Administrative Office’s primary focal point for tracking and maintaining appropriate records, including but not limited to service agreements and procurement processes, agency insurance contracts, legal discovery, fleet management, and facility leases.
Help maintain Board of Directors related documentation and assist with the creation of Board agenda’s, minutes, and forms, as requested.
Maintain confidentiality of sensitive information and exercise discretion in handling organizational matters.
Communicate as requested with a variety of internal and external parties, including but not limited to staff in the field, agency consultants, vendors and service providers, and agency representatives.
Undertake special projects at the direction of the leadership team and in collaboration with other team members, as needed.
QUALIFICATIONS
College degree preferred or two years of relate experience.
Ability to take charge and propose solutions.
Ability to think creatively and think big picture.
Strong Interpersonal skills. Have a flexible and positive work attitude.
Strong written, verbal, and analytical skills.
Proficient knowledge of MS Office (proficiency in Excel is required)
