Administrative Coordinator (aHEO) - Athletics & Recreation -REOPENED-
POSITION DETAILS
The Administrative Coordinator will report to the Director of Athletics and Recreation. In addition, to the CUNY Title Overview, the Administrative Coordinator will be responsible for the following duties:
Provide support and assistance administratively/clerically to the Director of Athletics and Recreation, and the overall athletic department.
Book travel plans for teams, coaches and administrators, where approved to include reconciling meal money, gas receipts, EZ Passes, etc.
Making meeting arrangements with administrative and coaching staffs in-person and on zoom.
Assist in the on and off boarding of staff, following college policies to limit delays.
Successfully ensure efficient and smooth day-to-day operations of the athletic offices; providing a professional environment.
Coordinate multiple athletic, recreation, staffing, championship and operations schedules, while managing the internal ‘master calendar’.
Provide the point of contact for internal and external affiliations.
Assist in the management of the athletic alumni database and reports, where appropriate.
Assist in athletic/recreation events, (ie. athletic hall of fame, athletic homecoming, athletic banquet, and etc.), where assigned.
Provide general administrative support to students, staff, coaches and guests.
Liaise with other administrative offices to handle requests and queries from other college offices (ie: Student Affairs, Registrar, Public Safety, Admissions, etc.).
QUALIFICATIONS
Bachelor's Degree required.
PREFFERED QUALIFICATIONS
Proven experience as an administrator and office manager
Enhanced knowledge and proficiency of MS Office and procedures
Working knowledge of office equipment, like printers, copiers, scanners etc.
Excellent time management skills, attention to detail and ability to work in a fast paced environment, successfully
Strong organizational skills
Excellent written and oral skills (understanding social media uses)
Manage confidential information (HIPPA/FERPA, academic and fiscal records)
Ability to manage complex internal systems, within a city/state entity
CUNY TITLE OVERVIEW
Supports projects, initiatives, and activities that impact an academic or administrative department.
Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
May supervise office staff and student workers.
Performs related duties as assigned.

Salary commensurate with education and experience ($44,411-$49,960).
