Job Description

General Scope of Duties

Assumes responsibility for performing various general accounting functions and activities for the Accounting Office including, but not limited to, general ledger account reconciliations. Responsible for processing and assisting in the oversight of the student billing/cash collections function. Process cash receipts and handle other miscellaneous duties related the cashier function, assist the Bursar with Student Account/Miscellaneous Receivable administration, Perkins and Institutional Loan administration. Assist with procurement processing (Purchasing and Accounts Payable). Assists in year-end closing and audit reporting.

General Duties and Responsibilities

  • Responsible for the cashier function; receive and receipt cash items and third party payments, pay Cash Disbursement Vouchers; enter non-student A/R invoices; post and reconcile payments to proper ledger accounts and student accounts; review all deposit transactions; and follow-up with departments on any discrepancies; balance daily cash receipt batches and reports between general ledger and cash drawer.
  1. Communicate with students, parents, faculty, staff, and third-parties regarding tuition bills/student loans and miscellaneous accounts; problem-solve challenges with billing and provide full customer service, field phone calls and monitor Bursar e-mail and act and follow-through upon incoming requests.

  2. Support and perform billing and collections efforts.

  3. Collaborate with Financial Aid on the servicing of student loans.

  4. Support and assist with refund processing.

  5. Support the Bursar with the maintenance and testing of the Banner AR system and Nelnet / CCPay system.

  6. Create A/R related journal entries to the Banner Finance general ledger system.

  7. Provide administrative support to the Accounting Office; sort, date stamp, and distribute departmental daily mail; assist with departmental filing.

  8. Create, send and maintain retiree health insurance billing.

  9. Monitor and maintain student account holds.

  10. Assist the Accounts Payable Specialist with vendor invoices/payment requests/PCard processing and assist the Procurement Manager with purchase order processing and eprocurement system administration when needed.

  11. Additional duties as assigned or as necessary.

    Education and Skills

  • Bachelors degree and 1 to 3 years of experience in higher education accounting/accounts receivable and/or office administration procedures

  • Strong written and oral communication skills

  • Strong computer skills (Ellucian Banner/Microsoft Office experience preferred) and analytical skills; strong knowledge of general ledger accounting preferred

  • Must be detail oriented

  • Well-organized, able to work under pressure

  • Ability to interact well with a variety of people from all parts of the college community

  • Knowledge of general office equipment

  • High integrity needed to handle confidential information
