JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State New Kensington is accepting applications for a Part Time Administrative Assistant in the office of Student Life.

As the Administrative Assistant in the office of Student Life this position will provide direct support to several student affairs functions. This is a part-time, 20 to 24 hours a week position in the Student Life Office reporting to the Assistant Director of Student Affairs.

Primary duties include:

  • Managing the book-keeping and fiscal accounts of several budgets including the processing of accounts payable records through University business systems;

  • Customer service, support to student programs and services, assisting with travel arrangements and event coordination.

Principal Duties and Responsibilities:

  • Assist with fiscal accounting system and processes for several budgets including: Student Life, Campus Activities Board, Student Government Association, and Career Services.

  • Processing accounts payable, University contracts, deposits, and related forms within AIS and ERS computer systems.

  • Keeping accurate records of all expenditures, providing budget statements, and will provide assistance to the Student Government Association Treasurer and Clubs and Organizations when needed.

  • Serve as the first point of contact for students and visitors entering the Student Life Office

  • Manage the telephone, electronic communications, and incoming faxes/mail for the office.

  • Assist with scheduling and maintaining the Assistant Director of Student Affairs and assisting with travel plans and accommodations.

  • Complete necessary forms and paperwork for room reservations, media and maintenance requests, and catering needs both Student Life, Student Government Association, and Campus Activities Board

  • Occasional evening and/or weekend program assistance may be needed.

  • Other duties as assigned.

Minimum Qualifications: Must be student success orientated. Excellent customer service, interpersonal and communication skills required. Proficiency in basic computer skills and the Microsoft Office Suite are a must. Bachelor’s degree preferred or equivalent related experience. Experience in an educational environment preferred.
