Description

We are offering a contract to hire employment opportunity for a Front Desk Coordinator in New Hope, Minnesota. This role involves managing the reception area and ensuring a professional first impression for all visitors. The successful candidate will be responsible for a variety of tasks, including administering incoming and outgoing mail, supporting accounts payable and receivable functions, and providing exceptional customer service.

Responsibilities:

• Greet and welcome visitors in a professional manner, ensuring a positive first impression.

• Answer and route incoming calls to suitable individuals or departments.

• Maintain a clean, organized, and well-presented reception area.

• Manage incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients.

• Assist with accounts payable tasks, such as processing invoices, verifying expenses, and maintaining accurate documentation.

• Support accounts receivable functions, including preparing invoices, tracking payments, and rectifying discrepancies.

• Maintain accurate records of financial transactions and uphold confidentiality of sensitive information.

• Collaborate with team members to maintain office supplies and keep inventory stocked.

• Provide administrative support, including data entry, filing, and maintaining electronic and paper records.

• Communicate effectively with internal staff, clients, and vendors to address inquiries and requests.

• Assist in scheduling appointments, meetings, and conferences as needed.

• Uphold a professional and courteous demeanor in all interactions, both in person and over the phone.

• Utilize skills in Customer Service, Sage 100, Receptionist Duties, Accounts Payable (AP), Accounts Receivable (AR), and Data Entry.

Requirements

• Proven experience in a similar role such as Front Desk Coordinator or Receptionist

• Excellent customer service skills and a positive attitude towards clients

• Familiarity with receptionist duties such as handling incoming calls and managing the reception area

• Experience with accounts payable (AP) and accounts receivable (AR)

• Strong data entry skills with attention to detail and accuracy

• Excellent communication and interpersonal skills

• Ability to multitask and manage time effectively

• High level of professionalism and ability to maintain confidentiality

• Proficiency in using office equipment such as printers, scanners, and fax machines

• Ability to work independently and as part of a team.
